We are seeking a Personal Assistant to provide high-level administrative and operational support to the CEO. This role requires discretion, initiative, and the ability to manage both business and personal tasks with professionalism.
Key Responsibilities
📌 Manage daily communications, including emails, calls, scheduling, and calendar coordination
📌 Organize internal meetings, prepare agendas, take minutes, and track follow-ups
📌 Support business operations and administrative tasks, including data entry and file management
📌 Assist in planning and executing marketing campaigns, events, and clinic initiatives
📌 Manage digital platforms such as Invisalign, patient record systems, and social media scheduling tools
📌 Liaise with suppliers, service providers, and external partners
📌 Conduct research, prepare reports, and create presentations as needed
📌 Handle occasional personal errands and travel or logistics planning
📌 Support HR-related tasks including onboarding checklists and staff scheduling
📌 Maintain confidentiality and discretion in all matters
Skills & Qualifications
🔹 2+ years of experience in a Personal Assistant, Executive Assistant, Office Manager, or similar role
🔹 Proven ability to handle multiple tasks and prioritize effectively in a dynamic environment
🔹 Strong written and verbal communication skills
🔹 Tech-savvy with proficiency in Microsoft Office, Google Workspace, and digital workflow tools
🔹 Experience with dental or medical software (e.g., Dentrix, Open Dental, or Invisalign platforms) is a strong asset
🔹 High level of discretion, emotional intelligence, and professionalism
🔹 Exceptional attention to detail and follow-through
Education Requirements
🎓 Associate degree in Business Administration, Healthcare Management, Communications, or a related field
🎓 Additional training in project management, HR administration, or healthcare operations is an advantage
