STUDENT SUPPORT SUPERVISOR
The Student Support Supervisor plays a critical role in ensuring that each student is adequately supported in order to successfully complete their academic journey and have a fulfilling student experience. This role is responsible for the management, leadership and delivery of all student support and student welfare provisions at UCC.
The Student Support Supervisor leads the Student Support portfolio in the Department of Student Services.. The incumbent analyses, interprets and communicates effectively on issues of a complex, confidential and strategic nature including the application and variance of university policy. This position performs a wide variety of administrative support services that contribute to the efficient and professional operation of the team of the Department of Students’ Services.
He / She will collaborate to drive the university career services programmes in assisting all student, alumni, faculty, and employer clients in the development of career education, career identification and the pursuit of employment opportunities commensurate with formal academic pursuits.
He/ She will manage programmes and activities that support student governance, leadership and personal development as well as social, cultural, welfare, counseling and support services, mediation services, student engagement, volunteerism and community engagement.
The Student Support Supervisor supervises the Student Services Officer, the DSS Intern and the DSS Student Worker.
Essential Duties and Responsibilities:
- taking overall responsibility for the formulation and revision of policies, procedures and operational matters to ensure the highest standards and exceptional service in the provision of a comprehensive and quality-monitored range of student support services.
- To review current systems within Student Support Services, where necessary reform them or introduce new ones, and ensure that procedures are documented, so as to meet internal and external audit requirements.
- Conduct counseling sessions and making recommendations to external partners where appropriate.
- To assist with ensuring that the necessary skills and competency levels are in place to support the work of the DSS and that the University personal annual review system is adhered to, with individual objectives set.
- Manage the Student Support, Career and Alumni Services calendar, receiving and initiating requests for appointments, meetings, interviews, speaking engagements and special events, prioritizing appointments and proactively resolving scheduling conflicts. Liaises with attendees and/or other groups to organize and review relevant meeting material.
- Compose and compile information, prepare and produce various documents/forms, reports and correspondences independently on behalf of the Senior Director, Student Affairs.
- Liaise with faculty, staff and students to identify solutions and direction to appropriate resources based on a broad knowledge of the University’s priorities, procedures, protocols and personnel.
- Maintain accurate and up-to-date student files, databases, records and information, record results and upload documentation on service management systems. Document highly complex matters or complaints to enable seamless follow up. Perform quality checks to ensure information is accurate.
- Actively contribute to developing, reviewing and improving work processes, procedures, policies and the students’ experiences.
- Assist with the planning and coordinating of special events (information sessions, committee meetings, workshops and conferences).
- Provide administrative support for the student conduct management process that includes contacting the student, scheduling a meeting or hearing, managing student correspondence, maintaining a report of student conduct violations and referrals and managing the intake of student complaints, appeals and grievances.
- Initiate and process forms such as purchase orders, requisitions, travel forms, printing requests and travel expense reimbursements. Attend to travel arrangements for the department as requested.

Specific Duties and Responsibilities
Students Accident Insurance
- Participate in the drafting, presentation and defense of the annual budget for the Department of Student Services
- Liaise with Registry & Student Financial Services for current Student Registration Listing
- Complete documentation and send it to the Finance Department for premium payment.
- Compile Google Survey Form to collect Students Beneficiaries Information, compile and then send to Sagicor
- In the event of death – verify student registration history, contact family members, notify, inform and ensure the relevant documents are completed and sent to Sagicor. Liaise with Sagicor Representative until matter is closed.
- In the case of an accident, inform and ensure that the relevant documents are completed and sent to Sagicor. Liaise with Sagicor Representative on the matter to closure.
Wellness, Counselling and Psychological Services
- Send awareness messages to students
- Respond & refer Counseling request to the University Chaplain and to external counselling partners
Orientation
- Lead the planning and execution of the semesterly orientation exercises.
Scholarship
- Oversee scholarship activities
- Chair the UCC Scholarship Committee
- Administer Scholarship Interviews
- Ensure that the Scholarship Report is completed
DSA Development Seminars & Functions
- Plan seminars by forging partnerships with other organizations.
To facilitate Job Development/Creation Services Workshops
- Oversee those duties which are carried out by the DSS Officer, Interns/Student Workers
- Advertise vacancies to student population
- Responding via email/telephone conversation to companies
- Vet Resumes for job readiness workshops
- Shortlist Applicants
- Plan and execute career preparation workshops
The Chair the Student Outreach Committee
- Responsible for organizing the planning of student outreach projects
Clubs
- Oversee the operations of clubs and societies
Alumni
- Guide the formation and operation of the Alumni
Minimum Requirements:
- A Bachelors Degree in Business Administration or related field
- At least 3 years’ experience providing student administration, academic programmes or related services in a tertiary education organization.
- Core professional training in an area of professional practice (e.g. counselling, psychology, mental health, social work – or equivalent) and a commitment to continuing professional development.
- Experience of working in a University or College and an awareness of student support issues.
- Experience of supporting students pastorally in a mental health or disabilities setting with a working knowledge of support for students with disabilities would be an asset.
- Experience in conducting Student Support workshops / Student Support programmes
- Experience of managing staff.
- Experience of policy writing, strategic planning, report writing, record keeping and delivering presentations to a variety of audiences including
Skills and Competencies:
- Essential - Proficiency in the Microsoft suite of programmes
- Desirable – experience in Project Management and Event Management,
- Experience using University Information Systems
- Experience and understanding of tertiary education academic program/course regulations and policies, or related services
- Preferred - Experience and understanding of a student management system or a Customer Relationship Management (CRM) system
- Knowledge of university and government regulations that relate to tertiary education admission
