Traffic coordinators know every aspect of a company’s workflow and production processes, and can be trusted to keep things moving under pressure and on tight deadlines.

01 - Coordination of Inputs• Coordinate necessary inputs for successful and efficient production by ensuring raw materials, tooling, and personnel are available and in good condition.
 • Ensure production processes run smoothly and meet client expectations.
 • Liaise with internal departments, external suppliers, and other stakeholders to secure resources and ensure they are ready for use according to the production schedule.
 • Take proactive measures to address any issues or deficiencies that may impact production quality or efficiency.
02 - Fixed Schedule Management• Coordinate closely with the Pre Press department to ensure scheduled orders are prepared and ready for production.
 • Manage the 10 and 5-day fixed production schedules, ensuring correct prioritization of orders.
 • Monitor the progress of scheduled orders to identify potential delays or issues.
 • Review fixed production schedules to prioritize orders based on delivery deadlines, order complexity, and resource availability.
 • Take proactive measures to address delays or issues to maintain schedule integrity.
03 - Order Status Monitoring• Actively monitor the status of scheduled orders to ensure Pre Press is working on assigned priorities and that all necessary inputs are in place for production.
 • Communicate effectively with the Pre Press team to ensure timely addressing of assigned priorities.
 • Identify and resolve potential bottlenecks or delays promptly.
 • Maintain constant vigilance over order progress to meet production timelines and exceed client expectations.
 • Regularly check the status of pre-production tasks such as artwork approvals, job bag reviews, and credit approvals.
 • Track orders missing art and credit approvals and communicate actively with the Customer Success Manager regarding order statuses
 • Track service levels provided to the Sales team, including order status and production progress and provide timely updates to sales team and stakeholders regarding order status
04 - Risk Identification and Mitigation• Address risks promptly and effectively to minimize production delays and ensure smooth execution of scheduled orders.
 • Analyze factors like client requirements, production capabilities, and resource availability to determine risk likelihood and impact.
 • Conduct thorough risk assessments for each scheduled order.
 • Identify potential risks, such as missing art approvals, job bag reviews, credit approvals, ink tuning, raw material availability, and tool conditions.
 • Take proactive measures to mitigate identified risks like expedite approvals, secure necessary resources, or adjust production schedules as needed.
05 - Production Schedule Support• Assume responsibility for production planning during the Production Planner's absence.
 • Collaborate closely with the Production Planner to maintain and update the production schedule.
 • Ensure continuity in production planning and keep all stakeholders informed of any changes or adjustments.
 • Ensure the schedule accurately reflects current production requirements and client commitments.
 • Identify and incorporate changes to orders, production capabilities, or resource availability into the schedule promptly.
06 - Root Cause Analysis and Communication• Analyze production data, interview relevant stakeholders, and review process documentation.
 • Collaborate with relevant departments to implement solutions to prevent recurrence of issues by ensuring corrective actions are effective.
 • Conduct root cause analysis to identify underlying causes of schedule changes and communicate findings to the Customer Success Manager.
 • Foster a culture of continuous improvement and maintain robust production schedules.
 • Investigate deviations or disruptions to the production schedule and determine appropriate corrective actions to address root causes.
