The Supervisor, Securities and Vault manages security documents, post-loan activities, collateral issues, and client titles, while promoting JMMB's Vision of Love and continuous improvement.

Job Summary:
The Supervisor, Securities and Vault is responsible for ensuring that security documents held by the Bank are duly perfected and results in no legal exposure to the bank. The officer is responsible for supervising the completion of all activities post loan disbursement to include: the insurance of assets charged, authorization of release of assets. The officer also acts on behalf of the bank to resolve collateral matters with personnel at the various External Agencies. Additionally, this TL acts as the senior custodian of client instruments of titles and securities. Promotes the JMMB’s Vision of Love and its unique culture. Engage in the process for continuous improvement. 

Key Responsibilities:

  • Security and Insurance Management:
    • Responsible for ensuring that the Bank’s position is protected as it relates to the perfection of legal documents and supporting client loan documentation.
    • Supervising post disbursement activities for all loans including registration of standard security documents, updating, and recording of monitoring registers.
    • Oversee tracking and follow-up of outstanding security documents to ensure that all documents are duly stamped, registered, recorded, and held.     
    • Ensures that insurance (motor & fire etc.) and mortgage bills of sale etc. are renewed promptly upon expiry.         
    •  Ensures the accuracy of all data entered in the security database, reviewing same periodically to ensure all changes are recorded and the security database up to date at all times.
    • Ensures releases or partial releases are promptly effected within the stipulated turnaround time upon approved instructions.
  • Security Custody
    • Maintaining an effective filing system for the department ensuring the proper filing of securities, legal documents, and correspondence.
    • Ensures the restriction of unauthorized access and the observance of the dual custody and access policies.
    • Supervising the maintenance of general, peril and life insurance renewal/endorsements to ensure full compliance and prompt renewals and endorsements for securities pledged.                                      
    • Ensures that all documents / collateral stamped and registered, are accounted for, recorded and maintained in the relevant client files and proper custodial practices maintained at all times.
    • Reviewing and approving the release of securities in accordance with policy and procedure.
    • Maintenance of insurance renewals for assets charged as collateral.
    • Co-ordinate Vault archiving, filing and culling.
    • Updating and maintenance of collateral records in the banking system.
  • Quality Assurance Verifications
    • Ensure timely and compliant review and verification the security information contained in the disbursement to ensure all existing and new collateral is in order prior to certifying same within the stipulated turnaround time.
    • Ensure timely and comprehensive independent verification where required included but not limited to income verification and searches.
  • Performance Management     
    • Coaching, mentoring and development of team members.
    • Take prompt corrective action.  
    • Create and enable a team-based approach that is client centric.
    • Ensure compliance with Policies and Procedures across the Group.
  • Reporting and Continuous Improvement
    • Ensure accurate and timely preparation of monthly reports.
    • Timely and accurate tracking of outstanding securities. Timely escalation where required.                      10 Monthly reporting.
    • Making recommendations to implement new measures to improve the management of security and insurance.
  • Performs other duties and projects as assigned as it relates to Credit Administration Support 

Qualifications (Education & Certification):     

  • Associate Degree in Management or related field from a recognized tertiary institution or equivalent qualifications.

Experience:

  • Minimum of five  (5)  years  banking  experience  with  at least 2 years experience  in  credit.
  • Minimum of two (2) years supervisory experience, preferably in a financial institution
  • Good knowledge of banking practices and procedures
  • Good knowledge of Banking Operations
  • Working knowledge of Microsoft Office applications: Word, Excel, Power Point. Etc.
  • Proficiency in the Bank’s operating system will be an asset. 

Other (Skills):

  • In-depth understanding of the JMMB’s Core Banking Operating System
