The Supervisor, Administration is responsible for overseeing and monitoring the day-to-day activities and duties of their direct reports. This includes the assignment of tasks, stock management, implementation and adherence to policies and procedures and follow up of such within the department.
Job Description:
- Provides prompt and quality Customer Service by projecting and demonstrating a high level of professionalism, courtesy, and initiative in accordance with established guidelines and policies.
- Oversees the usage and distribution of Stationary, Tea Supplies and General Stock, with adherence to established purchase order procedures.
- Orders and is accountable for receipt books, ensuring separate registers for transaction types and balancing stocks on hand with recorded items received and distributed.
- Oversees and ensures prompt delivery of Branch Mail via external Couriers.
- Preparation of payments for External Couriers.
- Preparation of all Purchase Orders for Stationary, Tea Supplies and General Stock.
- Timely and accurate submission of Reports for Franking Machine along with Cheque payment vouchers for replenishing machine with stamps.
- Updates and maintains inventory of all kitchen equipment, furniture, and utensils.
- Plans, schedules, allocates and prioritizes workload to meet operating requirements.
- Oversees maintenance and repairs of office equipment (photocopiers, fax machines etc.) and monitors renewal of monthly lease contracts.
- Prepares report for staff access to TATIL building outside of normal working hours.
Education and Experience Requirements:
- 5 CXC O’Level passes including Mathematics and English.
- Associate degree in Business Management or related respect.
- At least three (3) years’ experience within an administrative environment
- Minimum one (1) year supervisory experience
- Working knowledge of Microsoft Office Suite.
- Supervisory skills training considered an asset.
