Senior Executive Assistant

Overview:

As a Senior Executive Assistant at Sygnus Capital Limited, you will play a critical role in driving efficiency at the executive level. You will provide high-level administrative support to CEOs and senior executives, manage strategic initiatives, oversee executive operations, and ensure seamless coordination across key business functions. 

You will be required to deliver at all times on the Sygnus brand promise to be best in class in service through innovation, independence, and integrity. Ultimately, an outstanding Office Administrator should be detail-oriented and able to demonstrate excellent administrative and organizational skills. 

Key Responsibilities:

  • Provide high-level support in managing strategic initiatives and special projects, ensuring seamless execution.
  • Track project progress, coordinate cross-functional teams, and drive timely delivery of key milestones.
  • Develop and implement project plans, proactively addressing challenges to maintain momentum.
  • Manage complex schedules, high-stakes meetings, and executive correspondence with discretion and precision.
  • Prepare, process, and oversee the execution of confidential and time-sensitive documents.
  • Accurately document executive and board meeting minutes, track action items, and ensure timely follow-ups.
  • Oversee end-to-end travel planning for executives, including flights, accommodations, and itinerary adjustments.
  • Handle per diem processing and ensure seamless international connectivity for traveling executives.
  • Track, reconcile, and optimize travel expenses, enforcing compliance with company policies.
  • Manage and streamline executive email accounts, prioritizing, drafting, and escalating communications as needed.
  • Own scheduling for CARAIA (Caribbean Alternative Investment Association), ensuring precision and professionalism.
  • Draft and refine high-impact emails, reports, and presentations on behalf of executives.
  • Act as a trusted liaison between executives and key stakeholders, ensuring seamless communication and execution.
  • Champion Sygnus Group’s core values.

Relevant Skills, Knowledge and Experience:

  • Diploma/Associate/Bachelor degree in Administrative Management/Management Studies/Business Administration or a related field preferred.
  • Minimum 5 years of administrative experience, ideally in financial services.
  • Strong ability to work independently and collaboratively, with excellent knowledge of office procedures.
  • Project management experience would be an asset.
  • Tech-savvy with proficiency in office management systems, ERPs, MS Office, online calendars, and cloud platforms.
  • Maintains confidentiality, with strong communication and collaborative skills.
  • Demonstrates sound judgment, analytical thinking, and adapts well to changing environments without compromising outcomes.
