Job Description – Senior Community Associate

 

As Senior Community Associate (SCA), together with your manager, you will assist in creating and maintaining an inspiring and lively working environment for all clients, meeting guests and visitors. You will ensure the building(s) and facilities are fully operational and all operational processes are running smoothly for Regus centres in Jamaica.

 

All job specs below are to be managed closely by the SCA for centres under their remit. Delegation, clear communication and working closely with the Community Associates (CAs) will be required.

 

The job:

  • Closely manage all CAs’ performance and attendance
  • Ensure all CAs are motivated and operating at their best. Suggest ways to build team morale and productivity
  • Ensure all CAs read, understand and implement where necessary, the information disseminated by IWG on the monthly cascade
  • All IWG Academy training modules required to be completed by the CAs are completed and any required changes are implemented at centre level
  • Manage building operations and maintenance to ensure Regus clients have a first-class experience
  • Work with Regus IT and Williams Industries IT to ensure all systems are operational and that maintenance, repairs and improvements are handled in a timely manner.
  • Work closely with the Regional Operations Manager to implement and communicate any updated operational processes and procedures
  • Optimize the service level at your location for meeting rooms, common areas and reception services
  • Monitor and manage the meeting room agenda and act as a host for events
    • Monitor and manage the meeting room agenda and ensure a CA is designated and prepared to act as host for events
  • Maintain and manage the Centre's look and feel
  • Ensure the centre teams deliver a range of community initiatives designed to develop connections between clients; this includes but is not limited to - an exciting calendar of business and social events, email and print communications
  • Solve client-related issues in a timely and efficient manner
  • Conduct tours (where necessary) for prospective clients
  • Manage keys and badges (activation/ deactivation) for clients 
  • Ensure the correct processes are followed for client check-ins and departures
  • Assist with move-ins and move-outs; prepare and distribute client welcome packets
  • Handle all daily incoming and outgoing mail for clients who have this service as part of their package
  • Ensure pre-billing checks are in place and oversee and manage debt collections
  • Responsible for ensuring the necessary steps are taken for opening the centre in the morning and closing the centre at the end of the day
  • Ensure all spreadsheets/workbooks that the Finance Department requires for business tracking are kept live and up to date

 

We ask:

  • 2-3 years’ work experience in the hospitality, serviced office or events industry
  • Excellent standard of spoken and written English
  • Working proficiency of MS Word, PowerPoint and Outlook
  • Accurate, efficient and proactive character
  • Enjoy providing the best possible customer service 
  • Outgoing personality and you take good care of your appearance
  • Customer-focused, hospitable and an enthusiastic team player
  • Social, passionate personality with a hands-on mentality and approach
