Luxury Yacht Company seeks energetic, self-starter to join our growing company in the position of Administrative and Operations Coordinator.
The Senior Operations and Administrative Coordinator supports the overall Aristo Kat Tours operation. This role works closely with the Operations Manager to ensure a smooth daily operation, efficient administration and office management, and effective team coordination. The Senior Operations and Administrative Coordinator plays a key role in implementing operational strategies, monitoring performance, and contributing to the achievement of our business objectives.
Reports directly to: Operations Manager
Key Responsibilities:
● Assist the Operations Manager in planning, organizing, and coordinating operational activities.
● Monitor daily operations to ensure smooth workflows and timely completion of tasks.
● Collaborate with team members to address operational challenges and find solutions.
● Ensures that the staff receives lunch.
● Identify opportunities for process optimization and recommend improvements.
● Assist in developing and implementing strategies to enhance operational efficiency.
● Assist the Operations Manager with the following:
i. Ensure guests are greeted upon arrival
ii. Ensures boats are ready to go according to the standards established by the Reservations and Quality Manager.
iii. Works with the Director of Financial Affairs and the Purchasing Coordinator to ensure that relevant supplies are onboard.
iv. Ensures the crew is on-time and ready for work.
v. Ensures daily reports are completed by Captains
vi. Work with the Maintenance team to follow up and ensure any issues with vessels are handled in a timely manner.
vii. Perform opening and closing duty on designated days.
● Assist in managing resources effectively, including personnel, equipment, and supplies.
● Coordinate with other departments to ensure resource availability and utilization.
● Assist with optimizing inventory levels, procurement processes, and vendor relationships.
● Identify operational risks and develop mitigation strategies.
● Implement appropriate safety and security measures to protect employees and assets.
● Ensure compliance with relevant regulations, policies, and industry standards.
● Assist with preparing operational reports and present findings to senior management.
● Support Operations Manager in presenting findings to senior management.
● Provide recommendations and insights to support strategic decision-making.
● Ensure adherence to company policies, regulations, and safety guidelines.
● Assist in identifying and mitigating operational risks.
● Contribute to maintaining a safe and secure work environment.
Requirements:
● Bachelor's degree in Business Administration, Operations Management, or a related field.
● Proven experience in operations management or a similar role.
● Strong leadership and team management skills.
● Excellent problem-solving and decision-making abilities.
● Solid understanding of operational processes and best practices.
● Proficient in using relevant software and tools for data analysis and reporting.
● Effective communication and interpersonal skills.
● Ability to adapt to changing priorities and work under pressure.
