Job Summary: The incumbent will be responsible for assisting her manager with the preparation of financial reports, supervise staff in accounts payable, accounts receivables, invoicing, etc.

 

Reports to: Accounts Manager

 

Job Description/Responsibilities

  • To ensure preparation and disbursements of petty cash in a timely manner.
  • To monitor and ensure all petty cash disbursements have a matching receipt that has been uploaded and authorized before month end close.
  • To create and submit petty cash reports internally for review and ensure regular submissions are sent to PSC before month end close.
  • To create and forward invoices to customers on request. This is not limited to and may include Demurrage invoicing.
  • To ensure all vendor invoices (including rentals, utilities and statutory payments) and petty cash items are uploaded
  • To ensure that there are no errors with all uploaded vendor invoices and petty cash items and to assist with ensuring the necessary corrections are completed for accuracy.
  • To issue check payments, refund checks, and online payments.
  • To prepare and monitor accounts payables reports to ensure all payables are kept current and to an acceptable minimum.
  • To prepare vendor reconciliations, petty cash reconciliations as requested by your manager
  • To assist in the preparations for regular submission to head office for the clearance of outstanding items on the advance payables’ reports
  • Assist in preparation, monitoring and reconciliation of online payments, collections and bank reconciliations
  • Ensure period accounts are closed off in a timely manner as per deadline requirements.
  • Assist in retrieval, collation and preparation of data for management reporting within given deadlines.
  • To provide support and assistance with the preparation of schedules, reports, etc., in preparation of the audit, including working closely with the auditors during the auditing process and satisfying their requests for information.
  • To provide support to other staff in their job functions as requested by your manager.
  • Ensure company records are organized, updated, current and readily available for examination. This will include coordinating with other staff members to ensure the efficiency and effectiveness of the accounts filing system.
  • To always adhere to and promote the company’s policies, guidelines and procedures, meeting all KPI and reporting standards.

  • Perform any other duties, including administrative duties as assigned by your managers

 

 

Training, Experience and Knowledge:

  • ACCA Level II (completion of up to F8 - F9 Module) 
  • 5 ‘O’ Level/CSEC passes (including English, Mathematics and Accounts)
  • At Least two (2) references from previous employers required
  • At least 3 years’ experience in an accounting environment
  • Work experience in Accounts Receivable, Accounts Payables, Tax and Statutory submission.
  • Preparation of accounting schedules and responses to transmittals for Financial Audit.
  • Proficiency in MS Excel, Word, Outlook and Teams.
  • Interpersonal and problem-solving skills.
  • Organizational skills.
  • Ability to multitask and function within deadlines.
  • Good written, oral communication and report writing skills.
  • Knowledge of International Financial Reporting Standards and Internal Auditing Standards
  • Demonstrate sound ethical standards
  • High confidentiality
  • Strong attention to detail
