SALARY SCALE: $4,374,529.20 - $5,051,451.60 per annum.
JOB SUMMARY:
The incumbent undertakes general secretarial/administrative support services to the Assistant Vice President, Legal and Regulatory Services by coordinating the related activities and assignments of the office, ensuring its smooth functioning, maintaining an efficient communication system, organizing meetings, and assisting the Assistant Vice President with follow up on critical issues.
QUALIFICATIONS & EXPERIENCE:
- Bachelor’s degree in business administration or equivalent qualification.
- Certified Paralegal.
- Certified administrative professional would be considered an asset.
- A minimum of 4 to 5 years’ experience as a paralegal preferably in a law firm.
DUTIES & RESPONSIBILITIES:
- Perform secretarial/administrative tasks necessary for the smooth functioning of the office.
- Arrange appointments, meetings, seminars, etc. for Supervisor.
- Responsible for clearing out trays for work to be dispatched, typed, or filed.
- Prepare conditions precedents and request consents and approvals in relation to financing projects.
- Prepare legal documents, papers, and correspondence, such as briefs, pleadings, tender and procurement matters, property tax, property surveys, insurance valuations, licensing, certification, mortgages, liens, contracts, cabinet submissions, etc.
- Assist with organising enquiries into incidents/accidents involving vessels operating in Jamaica’s pilotage area or disciplinary hearings under the Pilotage Act.
- Ensure that minutes are prepared and that directives arising from the meetings are carried out in a timely manner.
- Assist in the recording and transcribing of minutes of meetings.
- Assist, when necessary, with the taking and transcribing of minutes of quarterly meetings of the department.
- Prepare motor vehicle loan documents for staff and arrange for the stamping and registering of the documents.
- Use precedent to prepare leases and contracts.
- Type claim forms, plaint notes and other court documents in respect of claims brought by the PAJ.
- Follow up with various government agencies and departments regarding draft legislation that is to be approved for gazetting.
- Ensure that filing is kept current.
- Any other duties assigned.
