The Receptionist professionally and courteously attends to customers and any related inquiries both via phone and in person.

JOB RESPONSIBILITIES:  

  • Connects switchboard by the specified time daily.
  • Answers all incoming telephone calls promptly and courteously, and screens calls as required and/or as requested by any Senior Managers.
  • Transfers caller to the correct individual in a timely manner and takes complete and accurate messages when extension called is unavailable, distributing said messages in a timely manner.
  • Places calls or pages for employees as required in a timely manner.
  • Maintains log for all overseas calls placed to ensure accuracy of monthly billings.
  • Greets visitors in a professional manner; determines their needs and directs them appropriately.
  • Assumes responsibility for the receipt and dispatching of mail and packages. This includes but is not limited to:
    • receiving and sorting incoming express mail and courier deliveries;
    • maintaining logs for all incoming and outgoing courier deliveries;
    • dispatching courier packages where applicable;
    • distributing delivery express envelopes and courier deliveries to intended recipients on a timely basis.
  • Maintains orderly appearance of reception area.
  • Ensures that the PBX system is placed on “night service” mode at the stipulated time unless otherwise stipulated by Management.
  • Ensures a replacement is in place if required to leave the Reception area for any period of time.
  • Performs routine clerical functions as requested.
  • Undertakes other duties which may arise or may be delegated to ensure success of job function and/or the objectives of the organisation.

 

ACADEMIC REQUIREMENTS:

  • A minimum of five (5) GCE/CXC O’Levels passes, two (2) of which must include English and Mathematics.

 

EXPERIENCE

At least one (1) year experience in a related position.

 

KNOWLEDGE/SKILLS/ABILITIES:

  • Excellent interpersonal skills.
  • Excellent communication skills (both written and oral).
  • Must possess good customer service skills.
  • Familiar with Microsoft Office Suite.
  • Maintains professional appearance and conduct at all times.
