Applications are invited from nationals of Trinidad and Tobago to fill the position of “Records Management Officer” at the Point Lisas Industrial Port Development Corporation Limited.


JOB PURPOSE

The successful candidate will be responsible for implementing records management programmes inclusive of records retention schedules, disaster prevention and recovery programmes for vital records, electronic record management and improved access for records.

 

ESSENTIAL DUTIES:

Develops records management policies and procedures to maintain the integrity, security and use of the Corporation’s records.

Delivers training, advice and support to staff on records management’s policies, procedures to ensure that maximum benefit is derived from the records management system.

Responsible for the movement of records between storage areas, ensuring each department is aware of its information and that only authorized users access this information.

Evaluates current record keeping methods and practices, storage requirements within each department, identify the departments’ needs, develop and propose alternatives and recommends improvements as necessary.

Monitors compliance to ensure records are appropriately controlled in accordance with Corporation’s Quality Management System.

Responsible for developing, revising and maintaining the records retention and disposal schedules.

Utilises technology applications and systems to deliver efficient and effective service appropriate to the operations of the records management function.

Submits summary reports of monthly reviews of on-going project deliverables.

Performs any other related duties that may be required by Management.

JOB SPECIFICATIONS:

Education/Training:     

Possession of BSc in Information Systems Management, Business Management or other relevant Degree.

Post Graduate or Master’s Degree in Information Management, Archives and Records Management, or Records Management or related studies would be an asset.

Degree must be from an Accredited Institution.

Consideration will be given to candidates with a combination of relevant qualifications and experience.

 

Experience:                     

Minimum of five (5) years’ experience in a Records Management environment.

 

Certification and Licences:

Certificate of Good Character dated within six (6) months.


Required Testing:   

The successful candidate will be required to undergo the following:

A full Medical Examination (inclusive of substance testing) to establish fitness for the position.

A Psychometric Assessment.

 

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.

Communicating with others to exchange information.

Repeating motions that may involve wrists, hands, or fingers.

From time to time may be required to operate for short periods of time in the external environment.

 

Knowledge:                     

Knowledge of various filing systems, records management procedures, all relevant laws and regulations that impact records management, Databases and Microsoft Office Applications.  Awareness of HSE Policies and Procedures and safe working practices. 

 

Skills:

Good interpersonal skills, planning, co-ordination, communication, problem-solving, team working and customer care skills combined with discretion

 

Abilities:

Ability to remain calm under pressure and to work on own initiative.  To identify the most appropriate and efficient filing system to meet the needs of the user
