The QS Officer assists in the documentation, reviewing and updating of detailed Quality Manuals (including Standard Operating Procedures, Work Instructions, Forms etc.) for all departments that are in accordance with SQF standard and ISO 9001 or equivalent.

Job Summary:

The Quality Systems Officer assists in the documentation, reviewing and updating of detailed Quality Manuals (including Standard Operating Procedures, Work Instructions, Forms etc.) for all departments that are in accordance with SQF standard and ISO 9001 or equivalent. They would work in conjunction with the wider Manufacturing team to support the organization in ensuring food safety and quality.

 

Job Responsibilities:

1) Document Control

  • Ensure document master listing is kept updated real time.
  • Send out reminders to process owners for annual documents or once there is a change.
  • Facilitate the creation of new procedures/documents including and ensuring it is in the company's format, signed and controlled. 
  • Assist in the review of all HACCP plans to ensure they are kept up to date at all times.
2) Supplier Approval Reviews
  • Meet with purchasing monthly to review Supplier's compliance to SMJ purchasing requirements.
  • Support in the review FS documents for new suppliers and updates to existing suppliers and report on any issues.
  • Support in conducting audits of suppliers as necessary
3) Internal Audits and External Audits
  • Conduct Independent Good Manufacturing Practices (GMP)/ Prerequisite (PRP) audirs and corrective action meeting according to the Audit schedule to ensure implemented global standards are being maintained.
  • Conduct inspections and verify completion of corrective actions.
  • Conduct training and sensitization of GMP, HACCP, Allergen and document control as required.
4) Plant Certification
  • Apply for Free sale Certificates (by SKU) 
  • Support in audits/inspections related to plant certitficates.
  • Provide technical support to the SMJ rep for responding to customer when requested.
  • Ensure a log of all customer complaint and respective investigations is maintained.
5) Customer Complaints
  • Ensure a thorough investigation into all incoming customer feedback/complaints is completed and submitted to the relevant persons.
  • Provide technical support to the SMJ Rep for responding to customer when requtesed.
  • Review customer complaints trend and raise an alert for repeating issues and/or critical food safety or quality issues.
6) Pest Control 
  • Conduct internal weekly pest control inspection to identify possible pest threats, station functionality, etc..
  • Report all findings from inspection to relevant department for actioning corrections.
  • Address all pest alerts to ensure it is resolved in a timely manner.
  • Ensure that all supporting documents for treatment and provider is reviewed and approved for use in food manufacturing facility.
7) Corrective Actions and Preventative Actions
  • Support in root cause analysis upon request.
  • Maintain a log of all CAPA and track and trend status.
  • Conduct random audits and successfully implement corrective and preventative actions.
GENERAL REQUIREMENTS (EDUCATION/EXPERIENCE)
  • BSc in Natural Sciences or equivalent 
  • Experience in internal auditing
  • Familiar with Food Safety Principles (HACCP)
  • Excellent knowledge of MS Office, Excel, Powerpoint
