The incumbent, as the QA Assistant plays a critical role in supporting the Quality Assurance/ R&D manager, department and team, within our food manufacturing plant.
Provide administrative assistance to the QA /R&D manager and department, including data
entry and report generation
o Prepare meeting minutes, memorandums, letters, presentations and correspondence with
suppliers, customers, and regulatory agencies as required
o Managing overtime/ shift allowances and submission to Payroll
o Assist with compiling KPI data required for monthly departmental reports
o Coordinate and assist with QA staff training registration and payment
o Maintain and update QA & company-wide departmental training records and databases
o Organizing, filing and maintenance of both electronic and physical records and databases,
including quality & R&D test reports, line monitors, regulatory and compliance documentation
o Ordering and replenishment of chemicals, consumables, laboratory & R&D supplies
o Source and liaise with vendors, suppliers and service providers to obtain quotes and facilitate
timely delivery of lab supplies, equipment and apparatus as required
o Prepare purchase requisitions and payment vouchers for the QA/R&D Department and
maintain records
o Record and keep track of QA/R&D monthly departmental expenses, ensuring accurate
allocation of GL codes
o Organize sample testing by external labs and ensure follow-ups and payments
o Manage leave forms for the QA staff, including updating of vacation, absenteeism and tardiness
logs and submitting to the HR department in a timely manner
o Follow up with QA team on outstanding reports, NCRs, line monitors, etc.
o Follow up with departments on outstanding quality requests, NFRs, Incident Reports and Batch
Cards
o Undergo any job-related training required by the company
o Assist with any other administrative tasks required by the QA/R&D Manager
o Conforms to all established departmental and company policies, procedures and objectives,
GMPs, food safety and HSE protocols;
Knowledge, Skills & Experience:
o Bachelor’s Degree/Diploma in Food Science, Chemistry, Quality Management, or equivalent
o Proficiency in database management and MS Office applications (Excel, Word, PowerPoint)
o Experience working within a lab environment and quality assurance processes
o Working knowledge of laboratory chemicals, equipment and consumables
o Excellent report writing skills
o Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
o Time management skills and able to work independently to meet objectives
o Strong attention to detail and accuracy in reporting, record-keeping and documentation
