Purchasing Officer

The Purchasing Professional plays a pivotal role in the procurement process of the organization, responsible for establishing and maintaining supplier relationships, negotiating contracts, selecting suppliers, and optimizing the procurement process.

Duties and Responsibilities:

•  Procurement Operations
•  Manage and execute as required the process of raising purchase orders for all inventory items across the Group.
•  Expedite purchase orders for stock and sales order items as needed.
•  Collaborate with all internal stakeholders to ensure that the process of procurement all commodities required and the respective logistics needs inclusive of customs clearance is efficient and effectively- functioning to avoid costly delays, demurrage and loss of opportunities
• Streamline and optimize the procurement process, from requisition to payment, to improve efficiency, reduce costs, and enhance transparency.
• Implement best practices and standard operating procedures for procurement activities, ensuring compliance with company policies and regulatory requirement 

Supplier Relations

• Develop and maintain positive and productive relationships with suppliers to ensure a reliable and efficient supply chain.
• Act as the main point of contact for suppliers, addressing inquiries, resolving issues, and negotiating contracts to secure favorable terms and conditions
• Lead negotiations with suppliers to obtain competitive pricing, favorable payment terms, and quality assurances.
• Review and analyze contract terms and conditions, ensuring alignment with company policies and regulatory requirements.
• Collaborate with internal stakeholders, such as legal and finance departments, to finalize contracts and agreements in a timely manner
• Identify potential suppliers through market research, networking, and referrals, assessing their capabilities, reliability, and compatibility with company needs.
• Conduct supplier evaluations and assessments, considering factors such as quality, delivery performance, financial stability, and ethical practices.
• Make recommendations for supplier selection or discontinuation based on performance evaluations and strategic objectives

Inbound Logistics

• Manages all logistics relates outsourced/ 3rd party service providers (local and foreign) to ensure efficient arrival and products.
• Ensure proper recording of all material movements in ERP system.
• Provide import/export documentation including packing list, commercial invoice etc. General
• Assist in other areas of work based on the needs of the department and any other area as necessary in support of Company activities.
• Assist in monthly/annual stock taking as required, ensuring corrective actions are implemented following these exercises where necessary.
• Promote safety awareness and the development of a Safety Culture within the company, including attending and leading Plant Safety Committee Meetings, and timely resolution of HSE findings and actions.
• Ensures timely notification of HSE Initial Incident Notifications in accordance with policy and procedures. 
• Seeks to continuously improve safety in the plant.
• Works closely with Customer Success- Quality Risk and Compliance Manager function to implement ISO policies, procedures, systems, and work instructions at plant, ensuring that all procedures and work instructions are adhered to, and available to all employees at the plant.
• Liaise with external customers/contractors/suppliers as and when necessary.
