Responsible for overseeing the Company’s purchasing process, ensuring that products and services are procured at the best prices and delivered to the Company in accordance with the required timelines to ensure an efficient operation.

Duties and Responsibilities:

  • Manages the entire purchasing process, from sourcing items, preparing all purchase orders and seeking the requisite approvals, to completing the final purchase and confirming delivery arrangements
  • Sources local and international vendors to obtain optimal pricing, and requests quotations, as needed
  • Negotiates the best pricing and provides suitable options from multiple vendors, as required
  • Dispatches approved purchase orders to vendors and managers, as applicable
  • Follows up with all suppliers regarding delivery dates and provides updates to managers
  • Reconciles all invoices to purchase orders
  • Follows up on open purchase orders
  • Coordinates with shipping agents and vendors (local & international) for shipping logistics and item delivery/collection/shipping outside of Trinidad
  • Prepares all the necessary purchasing reports and presents to Managers in the established time frame
  • Inputs General Ledger codes for all Food & Beverage items invoiced
  • Completes purchases with the company’s credit card and reconciles statements monthly
  • Prepares wire transfer letters and liaises with Head Office for payments to be made via wire transfer, etc.
  • Assists with collecting purchases from vendors who do not offer a delivery service
  • Completes credit application and/or vendor forms
  • Assists with any other finance related duties, as assigned

Education and Experience:

  • CIPS Diploma
  • At least two (2) years’ relevant experience

Skill requirements:

  • Excellent oral and written communication skills      
  • Strong analytical and problem-solving skills
  • Excellent organizational skills with strong attention to detail
  • Intermediate Microsoft Excel skills
  • Strong self-motivation

Other requirements:

  • Must be able to interact well with employees at all levels of the organization, including management and directors
  • Must maintain professionalism at all times
  • Must be able to work independently or as part of a team
  • Must have the ability to lift and/or move up to 50lbs
