The Production Assistant provides support to essential support to the Production Manager to ensure efficient production scheduling, data accuracy, and timely communication of operational updates.
JOB SUMMARY
The Production Assistant plays a key role in supporting daily manufacturing operations by ensuring accurate reporting, data analysis, and smooth communication across departments. The role requires a technologically savvy individual who is proficient in MS Office—especially Excel—and capable of using manufacturing software to support production planning and execution.
KEY RESPONSIBILITIES
Assist in coordinating and tracking daily production activities and schedules.
Assist in updating and tracking production schedules based on material availability and demand.
Provide daily updates and reports to the production team, highlighting key metrics and issues.
Maintain accurate records of production data, including output, downtime, material usage, and rework.
Provide daily updates to the production team regarding targets, downtime, material issues, and other KPIs
Monitor real-time progress on the shop floor and flag any issues affecting output
Assist with raw material requisitions and ensure timely flow to production lines.
Track, document, and report on production data such as output, rework, scrap, and downtime.
Utilize Excel to analyze trends, generate reports, and support data-driven decision-making.
Prepare and distribute production reports and dashboards using Excel and other systems.
Assist with the implementation and use of manufacturing software systems (e.g., ERP/MES).
Communicate effectively with departments such as Production, Warehouse, Quality Control, and Maintenance to resolve production-related issues.
Prepare clear written reports, summaries, and documentation for internal use.
Support inventory tracking for raw materials and finished goods related to production needs.
Participate in regular stock takes and assist with reconciliation of variances.
QUALIFICATIONS AND EXPERIENCE
Diploma or equivalent; further education in production, business, or related fields is an advantage.
Proficient in MS Office, especially Excel (pivot tables, formulas, data visualization).
Technologically savvy with a strong grasp of manufacturing or ERP software.
Excellent written and verbal communication skills.
Strong analytical skills with the ability to interpret and present data clearly.
Highly organized with the ability to prioritize tasks and meet tight deadlines.
Prior experience in a manufacturing or production environment preferred.
