Procurement Officer

The Procurement Officer is responsible for the timely procurement and delivery of high-quality, low-cost products and the proper processing of assigned orders.  In order to carry out these responsibilities; the Procurement Office selects and evaluates the performance of suppliers, oversees the customs clearing process, and coordinates the processing of assigned customer orders.  The individual will, in addition, provide administrative duties within the department, comply with the policies and procedures of the company, and provide support to the team, and any other administrative staff throughout the company.

Role and Responsibilities:

  • Collect approved purchase requisitions to be sent to various suppliers for quotes via email
  • Complete the procurement process for all three (3) divisions, locally and internationally
  • Follow up on documents (invoices, packing list, etc.) from suppliers to liaise with custom broker for clearance
  • Ensure that all purchase requisitions are effectively auctioned
  • Receive, assess, and select an appropriate supplier from quotes received and place a purchase order after the manager’s approval
  • Track and expedite all shipments
  • Process broker/custom/shipment charges and request payment from accounting
  • Dispatch packing list to respective warehouse and ensure correct purchases have been received
  • Continuously communicate with end-users/requisitioners on the status of orders
  • Maintain appropriate Requisition, Quotations, Product data, PO files, and suppliers’ data files
  • Maintain compliance with GOJ and IJL procurement guidelines
  • Complete a weekly report on all POs, status and cost

Qualifications and Experience

  • Bachelor’s degree in Procurement, Purchasing, Supervisory management, or other related areas.
  • One to two years experience in commercial business, preferably Procurement.
  • Strong leadership skills with the ability to work independently.
  • Effective problem analysis and resolution at the strategic and functional level
  • Ability to interact successfully with cross-functional stakeholders at all levels, both internally and externally
  • Excellent communication skills
  • Fluency in English.
  • Exceptional time and budget management skills, including the ability to work on multiple projects at the same time.
  • Highly customer-focused.
  • Excellent knowledge of QuickBooks
