PROCUREMENT MANAGER

We are seeking a detail-oriented and proactive Procurement Manager to oversee the end-to-end purchasing process, ensuring the seamless flow of goods both locally and internationally. This role involves managing supplier relationships, negotiating contracts, and ensuring all customs and regulatory requirements are met for efficient business operations.

The ideal candidate will lead the procurement team, handle inventory control, and ensure timely product delivery while maintaining cost efficiency.


CORE RESPONSIBILITIES:
 

Procurement & Inventory Oversight:

  • Lead the procurement process from sourcing to final delivery, focusing on optimizing international shipping and ensuring timely product arrival.
  • Monitor inventory levels, producing regular reports on stock levels and potential shortages to avoid disruptions.
  • Approve purchase orders and oversee the ordering process, ensuring accuracy in product delivery and proper documentation.
  • Update and manage product data within inventory systems, maintaining accuracy and tracking changes.
Supplier & Vendor Management:
  • Cultivate strong relationships with suppliers to negotiate favourable terms and ensure smooth contract execution.
  • Monitor supplier performance and manage financial transactions, including payments, statements, and reconciliations.
  • Handle vendor onboarding processes, including credit applications, and ensure procurement aligns with company requirements.
Customs Compliance & Import Management:
  • Oversee customs clearance for international shipments, ensuring compliance with relevant regulations and procedures.
  • Secure the necessary permits and documentation for imports, and address any issues related to shipment quality or discrepancies.
Financial Reporting & Budget Management:
  • Manage financial processes, including approving vendor payments and generating detailed monthly procurement budgets.
  • Provide regular financial updates, including account balances, shipment cost analysis, and other financial reports.
  • Ensure accurate processing of sales invoices, bank deposits, and other payment-related documentation.
Team Leadership & Collaboration:
  • Lead and mentor the procurement team, ensuring tasks are completed effectively and in line with organizational goals.
  • Work closely with cross-functional teams to ensure procurement activities align with business needs and timelines.
  • Support administrative tasks such as office maintenance and provide updates and reports to company leadership as required.
Administrative Support & Reporting:
  • Respond to inquiries, generate relevant reports, and prepare necessary company documents.
  • Follow up on orders, ensuring products arrive on time and in good condition, resolving any service or quality issues that arise.
  • Manage pricing confirmations for sales and ensure the smooth handling of procurement-related paperwork.
KEY QUALIFICATIONS:
  • Demonstrated experience in procurement and supply chain management, particularly in managing international shipments and customs processes.
  • Strong expertise in inventory management, supplier negotiations, and financial reconciliations.
  • Excellent leadership, communication, and negotiation skills, with the ability to lead a team and manage multiple projects.
  • Highly organized with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
EDUCATION & EXPERIENCE:
  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
  • Minimum of 3+ years of experience in procurement or supply chain management, with leadership experience preferred.
