Personal Assistant

Location: Endeavour, Chaguanas

Salary: TTD$4,500.00 monthly (negotiable)

About the Role:
We are seeking a highly organized and proactive Insurance Personal Administrative Assistant to support a growing multiline insurance professional. This role combines administrative duties, client servicing, and sales support responsibilities, requiring exceptional time management skills, discretion, and attention to detail. The ideal candidate will mainly perform various administrative tasks for processing application for our different lines of business as well as handle client general queries, manage policy servicing, send items for processing and follow up with feedback while also providing personal support to ensure seamless day-to-day operations in a fast-paced environment.

Key Responsibilities: Sales & Follow-Ups

  • Complete, verify and submit application documents
  • Track and follow up on pending applications, settlements, and outstanding policy requirements.
  • Ensure premium payments methods are set up.
  • Ensure accurate contract and or refund cheque is received before prepared for delivery.
  • Update sales tracker and add reminders to calendar
Administrative Support & Compliance

  • Prepare standard packages for each type of application from templates.
  • Prepare client proposal documents using templates
  • Complete client documents and forms accurately before sending to process
  • Monitor competition standings, sales awards, MDRT qualification and convention figures.
  • Manage filing systems and ensure accurate record-keeping both digital and physical.
  • Monitor and manage lapse listings, contacting clients to regularize payments and update payment methods.
  • Assist clients with policy inquiries, claims processing, and general queries in a timely manner and prepare and coordinate the dispatch of birthday cards, tokens, and other client deliverables.
Requirements:

  • Strong communication and customer service skills with experience in insurance sales.
  • Ability to manage client interactions professionally and efficiently.
  • Knowledge of insurance products and administrative processes
  • Manage client queries, ensuring efficient time management.
  • Handle email correspondence, phone calls, and client follow-ups.
  • Assist with client relationship management, including sending reminders and following up on outstanding requirements.
  • Prepare reports, presentations, and documentation for meetings if needed.
  • Maintain accurate records and files, both physical and digital.
  • Support event planning and coordination for business engagements when applicable.
  • Assist with marketing efforts related to the insurance business.
  • Conduct research and gather information as needed for potential business.
  • Handle personal tasks, including errand running and general assistance, overall management of the office.
 

Qualifications & Skills:

  • Minimum 5 CXC/CSEC passes, Mathematics and English A is mandatory.
  • Life Insurance knowledge is mandatory with minimum 1 year Life Insurance Experience.
  • Proven experience as a Personal Assistant, or similar role in the life insurance industry.
  • Strong organizational skills with high attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work independently and handle confidential information with discretion.
  • Strong problem-solving skills and adaptability.
  • Knowledge of insurance products and administrative processes
