Position Description

 

The Optometric Assistant (OA) contributes extensively to the daily success of the office by providing exceptional customer service to all who visit the location. The OA is required to provide a warm, welcoming and engaging atmosphere throughout their interactions with all patients. They guide and facilitate the stages of patient care flow, assist with frame selection, and scheduling of appointments. The Optometric Assistant provides exceptional teamwork characteristics and organizational skills and maintains the development of strong patient relationships.

 

Major Areas of Responsibility

The following is a list of expected results of this position, along with the essential functions (“Responsibilities”) necessary to achieve them.  These include:

  • Greet patients and coordinate the patient flow by providing the highest level of customer service, throughout the entire process from start to finish.
  • Establish relationships with new patients, maintain and grow relationships with existing ones.
  • Discuss pricing and assist patients with frame selection/styling to suit both their needs and budget in respect of payment plan policies.
  • Upsell products and services as needed.
  • Communicate payment terms and options to customers.
  • Communicate anticipated time frame for glasses pick up.
  • Ensure patients are provided with the correct documentation as needed.
  • Assist with setting of patient appointments appropriately according to the provider in office on the specified days where necessary.
  • Receive payment by cash, check, credit cards, vouchers, or automatic debits.
  • Issue receipts, refunds, credits, or change due to customers.
  • Count money in cash drawers at the beginning of shifts to ensure that amounts are correct and that there is adequate change.
  • Reconciles cash drawer by proving cash transactions, counting and packaging currency and coins.
  • Keep proper custody of all cash received.
  • Assist in locating and updating all patient charts accordingly.
  • Follow up with customers to ensure their needs and expectations are satisfied and promises are kept.
  • Exhibit accurate product knowledge while delivering information in a positive and articulate manner to our customers.
  • Ability to display empathy and personalization with each customer interaction.
  • Assist with uploading and adding information to the Acuitas and Google Drive as required.
  • Achieving and maintaining the highest level of customer care.
  • Daily demonstrates examples of teamwork to other staff members working in the branch office
  • Other related duties as assigned by management

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Self-starter who is able to work efficiently and independently.
  • Adaptable and able to maintain a positive attitude.
  • Attention to detail and possess strong organizational skills.
  • Highly motivated and target driven with a proven track record in sales
  • Possess a strong character as well as integrity.
  • Excellent communication in both verbal and listening skills with fellow team members, supervisor as well as patients.
  • Trainable attitude and mindset
  • Demonstrates a professional and calm posture when confronted with an angry patient or disgruntled customers and team members.
  • Maintain strong work ethic being reliable, dependable, and willing to “pitch-in” outside of typical position responsibilities.
  • Excellent knowledge and experience in the necessary technology such as computers, software applications, phone systems and business etiquettes and knowledge of Microsoft Office.

Education and Experience

  • At least a High School Diploma with CXC passes
  • Four years' work expereince with 2+ Years in a similar capacity.
  • Customer Service Certification is a +
