Operations Agent

As an Operations Agent, you will play a crucial role in ensuring smooth operations for our transportation services. You will manage reservations, coordinate transfers, and provide topnotch customer service to ensure that our guests have exceptional experience.

Requirements/duties of the position include:

  • Downloading and distributing flight manifests throughout the week, ensuring all formats are provided according to the recipient's needs.
  • Downloading, printing, sorting, and dispatching hotel manifests to the representatives weekly, ensuring timely and accurate delivery.
  • Acquiring and transmitting prepaid tour manifests to the representatives throughout the week, maintaining a consistent flow of information.
  • Printing, collating, and preparing manifests of the week for the following tasks.
  • Analyzing the previous week's calendar and implementing necessary modifications or additions to corresponding flights. Verifying flight numbers, destinations, and schedules for all changed entries to ensure accuracy.
  • Developing and organizing the Pick-up and Flight sheets for hotels; printing, sorting, labeling, and dispatching.
  • Downloading and distributing last-minute flight and hotel reservations for the same day tailoring to the specific recipients.
  • Downloading and distributing last-minute flight and hotel reservations providing two days' notice according to the recipient specifications.
  • Compiling and assessing all additions by hotel and by zone and requesting any missing briefing schedules. Notifying Sales Representatives and Account Executive regarding all changes.
  • Following up on and addressing all emails sent by the offices in Canada concerning discrepancies within the passenger in-house reservations, ensuring quick resolution
  • Coordinating customer service initiatives
  • Managing hotel pick-ups for hotels without Flight Sheets.
  • Handling delayed pick-ups.
  • Scheduling meetings with Sales Representatives for on-site assistance at hotels.
  • Collaborating with the Head Office in Canada to resolve issues regarding hotels, packages, and inclusions.
  • Verifying the availability and pricing of new and rescheduled flights.
  • Providing telephone assistance for Representatives and Supervisors:
  • Validating information for private transfers.
  • Adjusting departure transfers as needed.
  • Confirming and disseminating support for prepaid tours.
  • Planning schedules to ensure an Operations Agent is present in the office from the first to the last hotel departure transfers.
  • Quoting prices for hotel occupancy and category changes, applying relevant procedures.
  • Processing credit card payments in Canadian dollars for any changes made in the dossier.
  • Initiating incident reports when customers contact the office directly and follow up on emails from Canada for on-site customers.
  • Modifying pick-up schedules and arranging hotels in response to delayed flights.
  • Creating group banners and compile lists for private and individual transfers.
  • Assigning daily operations according to requests.
  • Monitoring vehicle performance and submitting information to confirm vehicle availability.
  • Communicating and confirming the pre-programmed operation with the provider, ensuring compliance.
  • Reviewing all changes made at the airport to actual operations and enter modifications and changes into the Transportation System.
  • Assisting with Airport Operations as needed while maintaining excellent communication with all parties and stakeholders involved.

Qualifications and Experience:

  • Associate’s degree in operations, Business Administration, Hospitality & Tourism, or a related field, or equivalent experience.
  • A minimum of 1 year of experience in Traffic Operations or a similar role within the tourism sector.
  • 1 year of customer service experience with a strong focus on service excellence.
  • Proficiency in MS Office Suite and email management; familiarity with transportation systems and provider relations.
  • Ability to work under pressure, meet tight deadlines, and manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal, with a positive and professional demeanor.
  • Strong problem-solving skills and the ability to adapt to changing situations.
  • Proactive, reliable, and committed to continuous improvement and teamwork.
