Assistant Office Manager and Assistant to Managing Director POSITION

An emerging growth company located in Montego Bay is looking to recruit a qualified and competent Assistant Office Manager and Assistant to Managing Director.

 

JOB DESCRIPTION

As the Assistant Office Manager and Assistant to Managing Director, you will provide support to the Managing Director, acting with little supervision, anticipating needs while managing the day‐to‐day workflow and prioritizing various projects, which includes Human Resource management and related issues, scheduling, contract management, preparing materials for meetings, and as well as participating in a wide range of special projects. As Assistant to Managing Director you will also perform, coordinate and oversee office-wide administrative duties while providing an executive level of support. This will enable the Managing Director and other members of the leadership team to work more efficiently and effectively to grow the organization.

 

QUALIFICATIONS AND EXPERIENCE:

  • At least 3 years’ experience in a related position as Office/Business/Human Resource Manager or relevant experiences.
  • First degree in Business, Human Resource Management, or a relevant field is a strong advantage.

SUMMARY OF SKILLS:

  • Applicant should have proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting.
  • Must have strong attention to detail and the belief that no task is too big or too small.
  • Applicant must have superb communication skills (oral and written) with a confident, concise, clear and compelling style.
  • Produce well thought‐out, professional correspondence.
  • Proficient in all MS Office applications including, Word, Excel, PowerPoint.
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders.
  • Must also demonstrate ability to maintain confidential/sensitive information.
  • Skilled in all aspects of planning and project management/Able to take an idea from concept to completion.
  • Resourceful, strategic problem-solving ability with a fun, positive “can do” attitude and fun sense of humor.
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.
  • Must be able to prioritize and plan work activities as to use time efficiently.
  • Must be organized, accurate, thorough, and able to monitor work for quality.
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
  • Applicant must be able to organise meetings and properly take and transcribe minutes of meetings
  • Applicant must have a sound knowledge of social media and content management
