Reporting to the Manager - Administration, the Office Administrator provides support in managing the administrative functions of the Bank. The incumbent is also required to assist with the administration of staff benefits.

CORPORATE SERVICES DIVISION

The National Export-Import Bank of Jamaica Limited (EXIM Bank) is seeking to identify a suitably qualified individuals to fill the abovementioned post.

 SUMMARY OF RESPONSIBILITIES

The successful candidate will:

  • Meet deadlines for the renewal of staff Group Insurance facilities, purchasing of goods/services, grocery, stationery, office supplies and equipment, prepares purchase orders and ensures that the appropriate authorized signatures are affixed.
  • Monitor service agreements and query inconsistencies;
  • Inspect the Bank’s premises for damages to fixed assets, cleanliness and tidiness of respective areas
  • Travel to other organizations to meet with service providers, inspect office equipment etc.
  • Participates in the preparation of the annual corporate plan and budget for the Unit.
  • Ensures adequate supply and appropriate resources are available to effectively carry out the work of the department; monitors and ensures the proper use and care of equipment and other physical resources; 
  • Conducts periodic checks to ensure office equipment, furniture and appliances are in good working condition; contact service providers to carry out repairs where necessary. 
  • Prepares staff Insurance documentation.
  • Records and prepares Minutes of the Disposal of Assets Committee.
  • Oversee the administration of the purchasing of grocery, stationery, office supplies and equipment ensuring adherence to established guidelines; 
  • Oversee fixed asset registry and ensures proper maintenance to reflect addition and removal of assets in a timely manner; manages the numbering process of fixed assets ensuring that numbers are properly designated and assets appropriately labelled;
  • Fleet management;
  • Oversee the bank’s registry;
  • Ensure proper and accurate reports are prepared, invoices checked  and submitted as required; and
  • Participate in the effective management of risks within the Bank.

QUALIFICATIONS/EXPERIENCE

The position requires the following qualifications/experience:

  • Bachelor’s Degree in Business Administration or a business-related discipline;
  • Certificate and experience with Public Sector Procurement Policies and Procedures: and
  • Three (3) years work experience with at least three (3) years in a supervisory role.

  • Excellent oral and written communication skills;
  • Excellent interpersonal and negotiating skills;
  • Strong leadership skills;
  • Excellent planning and organizational skills;
  • Knowledge of and experience with office administration, operations and procurement;
  • Ability to motivate subordinates towards high levels of performance;
  • Knowledge of budget preparation; and
  • Excellent analytical, problem solving and decision-making capabilities.
