Ocean Coral Spring is looking for a highly organized and customer-focused Reservation Supervisor to oversee our reservations operations.
The successful candidate will ensure seamless reservation processes, provide exceptional guest service, and lead our reservation team to achieve outstanding results.
Position Responsibilities
- The Reservations Supervisor is responsible for helping to run the Reservations Department.
- Assists in monitoring and managing the reservationist team to ensure excellent customer service
- Contributes to guest satisfaction through the quality of his/her work and exemplary behavior
- Maximize occupancy by ensuring high conversion of enquiries into bookings.
- Supervises, monitors calls, coaches, counsels, trains, disciplines and reviews reservation agents
- Assist to evaluates Reservation Agents' performance and productivity to ensure they meet service level goals
- Assist with the management of room inventory to maximize sales.
- Solve problems and make decisions at supervisory level.
- Excellent Knowledge of handling of SAP
Position Duties
- Preparation of daily, weekly and monthly reports as required
- Manage room inventory and communicate timely updates to travel partners
- Manage Tour Operator Room Allotment's
- Assists with audit of daily reservations for accuracy
- Ensure that all Group Reservations are done correctly
- Assist to scheduling of Reservations staff and their duties
- Make sure to provide an excellent introduction to the Hotel and its services with regards to the information given about the hotel and surrounding area
- Conveys the brand and hotel image through his/her irreproachable attitude
- Communicate effectively with clients/guests; providing appropriate confirmation and invoices where required
- Helps increase guest loyalty through quality of service
- Ensure all documents are filed properly and files are labelled clearly
- Assists the Manager to lead the team and to deliver the best Service possible
- Integrates and trains employees, providing support for skills development
- Maximize upselling and offer appropriate room category for the guest; ensure the guest receives the accommodation he / she is expecting
- Ensure that effective Revenue management activities are completed timely
- Monitoring duplicated booking’s, non guaranteed bookings and making necessary follow up and corrections.
- Answer Emails in a timely manner; Clear voicemails and return calls timely
- Any other duties that may be assigned
- Actively participate in both internal and external refresher courses.
- Maintain files and records on hotel shared drive and printed as required.
Requirements
- 2+ years of experience in a reservation or front office role, preferably in a hospitality environment
- 1+ year of supervisory experience
- High school diploma or equivalent required; degree in Hospitality or related field preferred
- Excellent communication, leadership, and problem-solving skills
- Ability to work in a fast-paced environment and prioritize multiple tasks
- Proficient in reservation software and property management systems
- Strong analytical and organizational skills
