Summary: Reporting to the Chief Executive Officer the incumbent manages all operations of the company as they relate to the receiving and storage of goods purchased by the company and the distribution of the finished product(s) to maximize efficiency and effectiveness. The Warehouse and Distribution Manager oversees 24 hours of all aspects of warehouse operations including inventory management, logistics, and distribution.
This role is responsible for optimizing warehouse processes, ensuring efficient product flow, and maintaining high standards of inventory accuracy and customer service.

Duties and Responsibilities:
Management/ Administrative Responsibilities:
- Participate in the development of the Company’s strategic business and operational plans
- Develop and manage the warehouse budget, including operating expenses, capital expenditure, and labour costs
- Develop and monitor the department’s strategic/operational work plans and programmes
- Implement quality control measures to ensure product integrity and compliance with quality standards and regulatory requirements.
- Review the Department’s structure, based on any organizational changes that may be recommended
- Lead and develop a high-performing warehouse team, providing coaching, training and performance feedback through regular meetings.
- Attend various meetings with internal and external personnel regarding the Company’s operations
- Schedule regular meetings with resource personnel and visit all rural locations at least once per month to facilitate such meetings
- Collaborate with Customer Service and Procurement Teams to ensure timely resolution of inquiries, discrepancies, delivery, or pick-up issues.
- Coordinate transportation activities, including carrier section, routing, scheduling, and tracking
Technical//Professional Responsibilities:
- Plan and direct all activities related to Distribution and the Warehouse by:
¨ Developing/maintaining suitable recording and reporting systems
¨ Monitoring schedules for the different routes per plant.
- Maintain procedural manual for the department, setting out the procedures for all major activities
- Ensure compliance to good manufacturing standards relating to the operation of the Warehouse
¨ Procure all raw materials used for finished products.
- Develop and monitor control systems to identify problems.
- Ensure that accurate up-to-date records are kept of deliveries of snacks/raw material/returns, waste etc.
- Ensure that supplies of school meals are consistent and punctual.
- Provide clear channels for communication and coordination between all
- Set up weekly reporting of raw material balances.
- Ensure adequate stock inventory, through on-time requisition.
- Manage stock control and reconcile with data storage system
- Monitor contractors to ensure that all vehicles are road worthy.
- Establish/monitor vehicle fleet which includes stand-by vehicles.
- Visit schools and routes travelled by distribution contractors
- Assist in remedying issues/concerns communicated by schools
- Implement and monitor preventative maintenance programmes for N.P.L. vehicles to include the forklift.
- Develop strategies to ensure continuity in production as relating to shortages of raw materials.
- Compile/review daily/monthly reports and reviews from all plants.
- Attend meetings/reviews with Ministry of Education.
- Compile monthly reports to Board Sub-Committee.
- Conduct daily quality control checks – appearance, colour, shape taste.
- Analyse and develop loading schedules – emphasizing load times.
rural locations and the Production and Maintenance Manager re: distribution, raw material, contractors and customers:
- Maintain communication systems.
- Safeguard warehouse operations and contents by establishing and monitoring standard of health and safety, hygiene and security procedures and protocols
- Maintains physical condition of warehouse by planning and implementing new design, layouts, inspecting equipment, ensuring that work orders for repairs and requisitions for replacement are done as necessary
- Oversee receiving, warehousing and distribution operations
- Examine products or material in order to estimate qualities and weight
- Develop cost reduction initiatives while maintain productivity and quality
Human Resource Responsibilities
- Monitor and evaluate the performance of direct reports, prepare performance appraisals, and recommend and/or initiate corrective actions wherever necessary to improve performance and/or established personal and/or organizational goals;
- Participate in the recruitment of staff for the department and recommend transfers, promotion, termination and leave in accordance with established Human Resource Policies and Procedures
- Develop and implement succession plans, in tandem with HR to facilitate continuity and the availability of required skills and competencies to meet the needs of the Division
- Provide leadership and guidance to direct reports through effective planning, delegation, communication, training, mentoring and coaching
- Ensure the welfare and developmental needs of staff in the Division are identified and addressed
- Establish and maintain a system that fosters a culture of teamwork, employee empowerment and commitment to the department’s and company’s goals

Minimum Qualifications:
- Bachelor’s Degree in Logistics or Supply Chain Management, Management Studies, Public Administration or equivalent
- Proficiency in warehouse management systems and inventory control software (preferably SAGE)
- Proficiency in Microsoft Office applications
Minimum Experience:
- At least five (5) years of experience in a managerial position
- Experience working with distribution networks
- Experience in Warehouse Management Software and Databases
