Medical Receptionist

Location: Collaborative Care Internal Medicine, New Kingston

Duration:  Full-time

Hours 8 am to 5 pm Monday - Friday

We are seeking a Medical Receptionist to join our healthcare team and provide essential administrative support in a fast-paced medical environment. As a  Medical Receptionist, you will be the first point of contact for patients and visitors, ensuring a welcoming and efficient experience. In addition to receptionist duties, this role will also involve management of medical records, assisting with clinical procedures, patient education and support, monitoring/managing inventory, ordering and stocking of clinical supplies, and contributing to general facility oversight.

Key Responsibilities:

  1. Greet Patients and Visitors:
    • Warmly welcome patients and visitors upon arrival.
    • Provide clear directions and assistance as needed.
  2. Appointment Scheduling:
    • Schedule and confirm patient appointments, utilizing electronic scheduling systems.
    • Assist patients in rescheduling and cancelling appointments when necessary.
    • Manage individual practitioners’ schedules, coordinate with practitioners and provide reminders as needed
  3. Registration and Check-in:
    • Collect and verify patient information and insurance details.
    • Maintain patient records and ensure data accuracy.
  4. Communication:
    • Answer incoming phone calls and address inquiries or direct calls
    • Respond to email and in-person inquiries professionally and promptly.
  5. Payment Processing:
    • Collect and process co-pays, fees, and payments from patients.
    • Maintain accurate financial records and reconcile daily transactions.
  6. Assist with Clinical Procedures:
    • Prepare examination rooms and ensure they are well-stocked and sanitised.
    • Provide support to healthcare providers during clinical procedures.
  7. Ensure Efficient Patient Flow:
    • Monitor patient flow and adjust schedules or communicate with clients as needed to minimize client wait times and ensure a smooth and efficient patient experience.
  8. Patient Education and Support:
    • Offer basic patient education and support on prescribed treatments, testing and follow-up instructions.
  9. Convey Messages and Address Client Needs:
    • Act as a liaison between patients and medical practitioners, conveying messages and facilitating client needs, including prescription refills, medical records requests, and scheduling or coordinating external tests, referrals or treatments.
  10. Inventory Management:
    • Monitor and manage clinical supplies inventory.
    • Place orders for necessary supplies and ensure timely restocking.
  11. General Facility Oversight:
    • Contribute to the overall upkeep and cleanliness of the facility.
    • Assist with safety and security protocols.
  12. Efficient Mail and Delivery Management:
    • Manage incoming and outgoing mail, packages, and deliveries, including logging, prompt distribution and coordination with relevant personnel.
  13. Medical Records Management:
    • Prepare and organize patient files, ensuring proper documentation and filing of medical records, images, and reports.
    • Upload images and reports into the electronic health records system, maintaining data accuracy and accessibility.

Qualifications:

  • High school diploma or equivalent; some college coursework is a plus.
  • Certification in medical reception, customer service, or administration (CPS/CAP) is preferred.
  • Previous experience as a medical receptionist or in a similar administrative role is preferred and highly valued.
  • Proficient computer skills, including experience with electronic health records (EHR) and scheduling software as well as electronic communication tools.
  • Basic bookkeeping skills including petty cash management and use of point-of-sale applications, are an asset
  • Strong interpersonal and communication skills, with an emphasis on empathy and professionalism.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy in data entry.
  • Knowledge of medical terminology and/or coding is a plus.
  • Proficiency with technical tools, including point-of-sale applications and electronic medical records (EMR).
  • Nursing qualifications would be an asset and provide a unique advantage in this role.
  • Ability to adhere to established policies and procedures to maintain the highest standards of patient care and compliance.
  • Flexibility – ability to adapt to changing situations, eg accommodate patient flow and other clinic needs.
  • Ability to stay late (1 – 2 hours) to provide practitioner support with patients when required
