Manager - Special Projects

JOB SUMMARY
Under the CEO’s direction, the Manager – Special Services oversees daily operations of the Special Services Division (fabric maintenance, scaffolding, rope access, industrial testing, bolting, etc.) following SOPs, safety, quality standards, codes, and schedules.

KEY DUTIES AND RESPONSIBILITIES

  1. Effectively and consistently market and promote the services of the division to existing and new clients, representing the Company at Client meetings and reporting on future opportunities.
  2. Support in the development and implementation of strategic and operational plans for the division.
  3. In collaboration with the Estimating Department, lead estimates relating to the Division’s services, conduct bid reviews, forecast and determine resource requirements (manpower, materials, equipment etc.) in accordance with defined scope of work.
  4. Work with the requisite subject matter expert (SME) to develop, maintain and implement job specific procedures for fabric maintenance, access scaffolding, maintenance industrial testing and bolting.
  5. Manage the coordination and logistics of relevant projects, reviewing and approving all requisitions for ongoing and new projects, attending project kick-off meetings while maintaining key internal relationships with Procurement, Finance and Transport Department.
  6. Monitor and manage project execution, attending project reporting and review meetings, conducting site audits, managing project and team performance in terms of schedules, safety, productivity, quality, expenditures, etc.
  7. Manage client/supplier relationships, liaising with Clients upon project completion, following up on invoice payments supporting Accounts Receivables as required, acquiring/documenting formal feedback from each Client and taking the necessary corrective action(s) to resolve any issues.
  8. Monitor and report on the Key Performance Indicators (KPIs) for each area within the Division detailing reasons for any variances (positive or negative).
  9. Identify root cause(s) for the Division in the event of non-conformances or poor performance; recommend and implement solutions to ensure that the Division continuously meets its KPIs.
  10. Lead quarterly Scaffolding inventory stock account and compile relevant reports, making suitable recommendations for purchase, maintenance or disposal of inventory, ensuring that the inventory management system is current.
  11. Lead department meetings to resolve issues.
  12. Generate/compile information as required and complete daily/weekly reports/documentation to the standard required on a timely basis on the progress of projects and/or assigned jobs in accordance with the management of project guidelines.
  13. Lead and manage subordinates and other relevant personnel through appropriate guidance, instructions and direction as required defining roles, responsibilities and accountabilities for the Special Services Department.
  14. Manage and supervise staff of the Department, delegating work assignments.
  15. Undertake Performance Planning and Appraisal for assigned team members, clarify performance expectations, provide coaching/mentoring, conduct performance evaluations/appraisals and take required action(s) to address performance problems, competency gaps and career progression consulting with appropriate Management as required.
  16. Actively develop the customer facing technical roles to:
    1. Deliver service excellence.
    2. Identify business opportunities.
  17. In collaboration with the HR function:
    1. Identify and facilitate the developmental needs of subordinate staff.
    2. Identify a succession plan for the critical roles within the function to ensure business continuity.
  18. Identify key personnel for upward mobility in the Company.
  19. Ensure through collaboration with Asset Maintenance that the Division’s assets are safe to operate and maintained in accordance with the respective Preventative Maintenance Schedule.
  20. Carry out any other duties/tasks for which the employee has the competencies to perform to ensure attainment of targets and objectives of department/ designated function.


KEY COMPETENCIES and Assets

  1. Strong knowledge and understanding of sandblasting, painting and insulation principles and practices.
  2. Strong technical knowledge of insulation materials, installation techniques and relevant codes, specifications and statutory requirements.
  3. Excellent knowledge of painting techniques, materials and the process of selecting, mixing and application.
  4. Ability to interpret blueprints and specifications to determine project requirements and allocate resources accordingly.
  5. Ability to identify the various types of scaffolding materials, their uses, load bearing capacity of scaffold components and best practices in care, preservation and maintenance.
  6. Formal training and/or certification from a NACE Level I or II in Industrial Paint Application and Abrasive Blasting practices.
  7. Scaffolding Training as evidenced by CITB or OSHA certification.
  8. Flange Integrity Management (PCC 1) training as evidenced by a certified body such as ASME.
  9. Accreditation as accepted by the Company in Basic Rigging and other supporting skills as required.

• Build and maintain productive relationships with managers, supervisors, foremen, peers, project teams, clients, the public, suppliers, agencies, and subcontractors involved in your duties.

JOB CONDITIONS
• Work in Workshop, Industrial Plant, Field and Construction environments requiring a high degree of sensitivity to potentially hazardous situations, materials and conditions.
• Work in areas of noise, dust, confined space, elevated temperature, heights, subject at all times to the use of appropriate safety gear.

QUALIFICATION & EXPERIENCE
• Technician Diploma in any one (1) related area, or equivalent competencies as per formal Assessment by the Company with demonstrated competence and/or competencies normally acquired over a minimum of (9+) years progressive and relevant experience in a similar position with at least five (5) in a leadership/supervisory capacity.
• BSc. in Business Administration, Engineering or Social Sciences with demonstrated competence and/or competencies normally acquired over a minimum of seven (7+) years progressive and relevant experience in a similar position with at least three (3) years in a leadership/supervisory capacity.
