The Manager – Projects is required to successfully manage projects and deliver project objectives and benefits based on agreed schedule, budget, scope and quality requirements.

The successful candidate will possess:

  • Bachelor’s Degree in Business Administration, Information Technology or related area
  • Three (3) years’ experience managing large project involving software selection and integration.
  • Three (3) years’ experience in Request for Proposal (RFP) preparation and execution
  • Project Management Professional (PMP) Certification  

 DUTIES AND RESPONSIBILITIES:

 

  • Assist in the design of projects to carry out change initiatives.
  • Develop detailed project management plans and all related project subsidiary plans and documents.
  • Plan, monitor and control the execution of project in such a way as to ensure that:
  • The deliverables are produced on time and with the required quality.
  • Stakeholders are managed and all communications are rolled out.
  • Effective change management techniques are used throughout execution and during project delivery.
  • Deliver project to agreed schedule, budget, scope and quality level.
  • Identify project issues and risks and escalate to Project Sponsor and the PMO Head as appropriate.
  • Initiate the project teams and handle all aspects of work assignment management inclusive of monitoring project progress against major milestones, issues and problem identification and resolutions, risk management among other project related concerns.
  • Ensure that projects are given the level of support and commitment required for success at all stages of the project lifecycle.
  • Conduct regular and periodic project status meetings to apprise stakeholders of project progress, issues, challenges, and risks.
  • Manage the requirements change request process to ensure minimal scope extension.
  • Conduct benefit realization assessment at the end of projects
  • Conduct post implementation reviews
  • Prepare and respond to project audits.
  • The major responsibilities include:

Planning Projects

  • Define the scope of the project in collaboration with the sponsors, key stakeholders and key project team members.
  • Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project.
  • Determine the resources (time, money, equipment, etc) required to complete the project.
  • Develop a schedule for project completion that effectively allocates the resources to the activities.
  • Review the project schedule with key stakeholders and all other staff that will be affected by the project activities; revise the schedule as required
  • Determine the objectives and measures upon which the project will be evaluated at its completion.
  • Prepare project control documents.

Initiating the project team

  • Initiate the project resources to work in team mode.
  • Support the programme manager and steering committee in the selection and management of the project staff according to the established policies and practices of the organization.
  • Ensure that all project team members receive an appropriate orientation to the organization and the project.

Control the Project

  • Write reports on the project for management and the stakeholders.
  • Communicate with stakeholders as agreed in the change management and communications plans.
  • Monitor and report on all project expenditures
  • Monitor cash flow projections and report actual cash flow and variance to senior management on a regular basis (eg, monthly)
  • Keep team members informed on project status and next steps.
  • Ensure all project records are maintained and all deliverables are appropriately filed stored.

Implement the Project

  • Coordinate the execution of the project according to the project plan.
  • Develop forms and records to document project activities.
  • Set up files to ensure that all project information is appropriately documented and secured.
  • Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the projec
  • Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project
  • Ensure that reviews of the quality of the work are completed with the appropriate project team members on a regular basis and as required by the project quality plan.

Work Assignment Management

  • Promote project and change initiative success by ensuring compliance with established policies, standards and methodologies.
  • Monitor project progress against major milestones and recommend preventative/corrective actions to ensure delivery of services to the client on-time, within budget and according to agreed specifications or requirements
  • Identify any deviations from work plan or quality standards and recommend corrective actions
  • Identify any issues, problems or potential problems affecting the work assignment or the project and work with the other project members and programme or Head PMO to resolve them.

Professional Development

  • Contribute to the development of the division by
  • Identifying, understanding and sharing current and relevant industry trends, innovations, methodologies and techniques

  • Consistently sharing learnings, tools and techniques with the division team.

  • Application areas relevant to the division include - Product and Service design, development and deployment; Business process design, development and deployment; Information systems design, development and deployment; Industry and Market research
  • Contribute to the division and organisation success by identifying potential opportunities for improvement related to the application areas assigned.

  • Communicates across all functional areas in the division and across all functional areas in company as required. Communication must be guided by company standards and procedures and must support the company values.
  • Produce clear, timely and accurate documentation on the results of all work assignments.
