Maintenance Clerk

This role is responsible for coordinating communication between retail locations and the maintenance team, tracking equipment and parts inventory, issuing materials, and managing service schedules.

Job Summary

We are seeking a detail-oriented and organized Maintenance Clerk to support our maintenance operations. This role is responsible for coordinating communication between retail locations and the maintenance team, tracking equipment and parts inventory, issuing materials, and managing service schedules. The ideal candidate should be proactive, efficient, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

• Review and respond to incoming emails to assess and prioritize maintenance needs.
• Assign maintenance tasks to technicians based on urgency, location, and availability.
• Serve as a liaison between retail store locations, contractors and the maintenance department to ensure clear, timely communication and resolution of issues.
• Maintain accurate logs of machinery, tools, and spare parts using inventory management systems.
• Track and document the issuance and return of parts to technicians and teams.
• Monitor stock levels and notifying the purchaser to reorder supplies and parts as necessary.
• Schedule routine servicing and preventative maintenance for equipment and machinery.
• Keep detailed service records and maintenance history logs for all machinery.
• Ensure compliance with company standards and regulatory requirements regarding equipment upkeep.
• Provide administrative support to the maintenance team and assist with documentation, work orders, and reporting.
• Maintain a clean, organized store room environment to ensure efficient operations and safety.
• Assist with receiving, unpacking, and storing incoming inventory or shipments.

Qualifications, Skills and Competences:

• High school diploma or equivalent required; additional technical certification from HEART or other accredited Institutions is a plus.
• Proven experience in a warehouse, inventory, or maintenance support role preferred.
• Strong organizational and time management skills.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Excel, Word) and inventory software.
• Ability to multitask and prioritize in a dynamic environment.

Physical Requirements:

• Ability to lift up to 50 lbs.
• Must be able to stand, walk, bend, and reach for extended periods.
