We are seeking a highly organized and detail-oriented Administrative Clerk to join our dynamic Maintenance team at Island Grill.

You will play a key role in maintaining smooth administrative processes, ensuring accurate record-keeping for the Maintenance Department with day-to-day tasks. This role involves ensuring timely communication between the maintenance team and other departments.  About the Role

The Admin Clerk for the Maintenance Department plays a vital role in supporting the Maintenance Manager with the daily operations of the department, ensuring that all standards and procedures are consistently followed. The role requires effective communication, coordination, and execution of tasks in line with company policies and procedures.

Key responsibilities include:

  • preparing correspondence to vendors and restaurant teams
  • distributing schedules for store servicing and preventive maintenance activities, and recording meeting minutes
  • managing the department's petty cash float
  • overseeing phone communications to the help desk, scanning and distributing documents, and tracking department expenses.
  • coordinating with external entities to obtain necessary permissions for maintenance work.
  • coordinating with vendors and contractors, arranging accommodations for technicians, and managing vehicle fleet documentation and servicing records.

Qualifications & Skills Required

  1. High school diploma or equivalent
  2. Experience in administrative work
  3. Ability to communicate effectively, both verbally and in writing
  4. Must be proficient in Microsoft Office Suite
