Island Routes is seeking to hire a passionate and driven individual as their Logistics Coordinator.

Logistics Coordinator

He/She will be responsible for the coordination of all aspects relating to sales funnel support, pre-travel planning and experience execution of all Bespoke products in their island destination for Island Routes Caribbean Adventures. 

Core Responsibilities:

  • To ensure the full utilization of appropriate Customer Relationship Management (CRM) system tool to enable outreach to qualified leads and pre-travel experience planning.
  • Effectively support the Operations Dept. and Concierge Team with all inquiries, leads and custom requests; assisting to build appropriately packaged and priced options for the client/s, sourcing new vendors & custom pricing where needed.
  • To coordinate all pre-travel logistics and planning for all booked experiences for their island destination.
  • Maintain clear communication and logistical support needed with all internal departments.
  • Coordinate all external stakeholder communication and pre-travel planning (Hotels, Transportation, Certified Partners & Attractions) to ensure successful completion of guest experience.
  • Build appropriate Guest Manifests for each experience execution to guide all relevant departments, especially the Guides Department.
  • To ensure appropriate pre-travel booking information is communicated to the client/s prior to arrival.
  • Key department of contact with all Certified Partner vendors for any experience in their island destination; managing all vendor relationships appropriately and in accordance with company protocols.
  • To support in-destination experience execution as needed.
  • Participate in departmental meetings and relevant operational meetings.
  • To coordinate site inspections of partner hotels, tours and attractions as required.
  • Update data systems and weekly/monthly reporting as required by the Operations Manager.
  • Any other duties assigned.

Qualification and Experience:

  • A minimum of a First Degree in Business or related discipline.
  • A minimum of 3 years’ experience/knowledge in or a related field.
  • Should have advance proficiency in Microsoft Word, Outlook, PowerPoint and Excel.

Job Requirements:

  • Proven project and logistics coordination expertise.
  • Excellent organizational and time management skills, prioritizing effectively in accordance with deadlines and expectations.
  • Solution and detail oriented attitude with strong problem solving skills.
  • Excellent interpersonal skills and successful experience dealing with a range of people in a service environment.
  • Initiative, judgement and tact to interact appropriately with senior management, guests and partners in both formal and informal communications.
  • Ability to work as a team player in a multi-cultural environment, promoting, forging and maintaining harmonious inter & intra department relationships.
  • Ability to work independently without supervision and manage own workload.
  • Excellent oral and written communication skills in both formal and informal situations.
  • Strong commitment to quality in the product and service being provided.
  • High level of professionalism, integrity and proactivity.
  • Must be creative, self-motivated, confident and open-minded.
  • Must be able to work flexible hours when needed.
  • Must be confidential with company information and ongoing business development.
