Fixed Term Contract (6 months)

Main Purpose of Job:
Under the direction of the Legal Manager, the Legal Coordinator will be responsible for the efficient and effective day-to-day functioning of the Legal Department and will provide  confidential administrative support by attending to formalities for legal documents,  retrieving information, preparing reports, handling information requests, including performing clerical functions such as preparing correspondence, receiving visitors, and scheduling meetings.

 

Duties and Responsibilities:

  1. Attends to formalities in legal documents such as contracts, deeds, leases etc. by typing, formatting, printing, witnessing execution etc., as directed by the Legal Manager.
  2. Inputs data into contract templates as directed by the Legal Manager.
  3. Prepares invoices, reports, memoranda, letters and other correspondence.
  4. Prepares spreadsheets, databases and/or other reports as directed by the Legal Manager
  5. Files statutory and court documents as required.
  6. Requests, orders, receives and arranges for payment of goods and services using SAP.
  7. Peruses incoming data including letters, memos, trademark and other legal documents and reports, determine to whom such data/documentation should be routed for appropriate action.
  8. Opens, sorts and distributes or stores incoming data, including facsimile messages, courier packages and emails.
  9. Maintains filing and retrieval of all data.
  10. Prepares responses to correspondence containing inquiries.
  11. Maintains department human resource leave data and other data records management systems using SAP.
  12. Initiates purchasing processes for specific company assets, equipment, supplies and services using SAP.
  13. Distributes and maintains inventory of stock items (consumables) within the department.
  14. Arrange bookings for hotel and travel (if necessary) for members of the department in respect of meetings and training.
  15. Communicates with internal and external customers to determine specific needs, concerns and complaints.
  16. Responds to incoming telephone calls, screens calls, communicates information and ideas from oral to written form.
  17. Receives visitors and determines whether they should be given access to specific individuals.
  1. Renders administrative assistance to all members of department and supports the Group General Counsel/Corporate Secretary in the absence of the Executive Assistant.
  2. Performs all other duties related to the position, or as determined from time to time by the Legal Manager

Qualifications & Experience:

  • Para legal certification.
  • A BSc in any discipline would be an asset. A Bachelor of Laws would be ideal.
  • Five (5) years’ experience in a similar role.
     OR
  • A Combination of Equivalent Qualification and Experience.
  • Advanced Computer Literacy skills including sound proficiency in MS Office Suite.
  • Working knowledge of the SAP platform.
