Legal Assistant – Transactional Department

REPORTING TO:                Partner - Transactional Department

 

OBJECTIVE:         Participation as a pivotal member of the Transactional Department by enhancing Attorney(s) effectiveness by providing information-management support, representing the attorney to clients and others, demonstrating a high level of initiative and being a team player in the Department.

 

KEY RESULT AREAS:  Responsible for:

 

  • Client Service
    • Ensuring prompt, reliable and accurate communication with internal/external clients.
    • Communicating and liaising with Attorneys in the department, as required.

 

  • Document Preparation
    • Responding to routine correspondence and drafting replies for review by Attorney(s).
  • Keeping cases organized by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into file database and case management software; confirming case status with attorney.
    • Producing draft documents from precedents for review by Attorneys.
    • Producing accurately typed and formatted documents for distribution.

 

  • Attorney Support
  • Demonstrating a high level of initiative particularly in relation to learning new areas of work and being proactive in providing support to the Attorneys.
  • Handling special projects as may be asssigned by the Attorney from time to time.

 

  • Filing
  • Preparing status reports, communications (internal & external), appointments, and deadlines in legal-specific software.
  • Maintaining a well-organized/up-to-date filing system andcategorized,computerized filing records, as well as a diary and brought-forward system.

 

  • Invoicing/Billing
    • Completing monthly invoicing or when a project/matter is completed.
    • Reminding Attorneys and assisting with posting and/or uploading  time.
    • Generating invoice narratives for review by Attorneys, and preparing invoices for issue to clients.
    • Following up Accounts Receivables after invoice is issued, and continuing until  payment is received.

 

  • Undertaking other related duties as may reasonably requested from time to time.

 

 

Qualification, Experience and Skills

  • A minimum of three (3) years relevant work experience;
  • Paralegal qualification from an accredited institution will be an asset;
  • Familiarity with legal procedures specifically the Registry systems and legal protocols;
  • Excellent secretarial and organisational skills;
  • Advanced level MS Office computer skills:
  • High level communication skills – strong grammar, spelling, vocabulary and language skills;
  • High level of confidentiality;
  • Keen listening skills; and
  • Ability to coordinate multiple activities.
