Property Facilities Manager (Commercial Real Estate Sector)
Overview: Our client is one of the leading Real Estate Organizations in Barbados. Due to growth, they are seeking to recruit 2 x Property Facilities Managers to provide excellent customer service to their established/new clients in the Corporate business sector. The successful candidate should have the skills to manage properties with the objective being the preservation of and/or the increasing of the property’s value while generating an acceptable return on the Landlord's investment.
Duties/Responsibilities:
- Oversight of maintenance of the physical plant and equipment.
- Building developing and maintaining relationships with clients, landlords, tenants, subcontractors and staff.
- Prepare and implement procedures and systems within company guidelines to ensure orderly, efficient and prioritized workflow.
- Preparation of monthly/ quarterly/ yearly property reports for clients.
- Budget for, monitor, and control the expenses of properties in portfolio.
- Conduct monthly review of financial statements with Senior Facility Manager.
- Maintain in FM Software accurate record of all quotations, invoices, authorizations and actions taken.
- Prepare and update Property Manual – including audits, inventories, maintenance issues, capital replacements and vendor documentation.
- Develop Property Maintenance Schedule and manage preventative maintenance program in FM Software.
- Monitor and analyze all utilities.
- Ensure Health, Safety and Environment requirements are met according to best practices and legislation.
- Appropriate and timely response to emergencies or critical issues.
- Communicate and develop relationship with owners (landlord/board) and tenants.
- Respond to, resolve and record all tenant and/or customer complaints in FM Software.
- Assist with hiring and evaluation of employees on property.
- Schedule and manage all human resources allocated to property.
- Source, negotiate, review and manage service contracts.
- Ensure owners/residents of residential properties follow property rules.
- Lease and Tenant Management.
Desired Qualifications/Experience:
- Minimum associate degree in a Business-related discipline
• Proven experience in managing corporate multi-occupied business premisise.
