The incumbent will be responsible for providing clerical support to the Engineering Manager.

 

Duties & Responsibilities:

  • Perform administrative functions such as developing and maintaining department databases, prepare routine reports as well as development of SOPs and checklists;
  • Organizing and maintenance of both electronic and physical records and databases;
  • Updates and maintains departmental training records, vacation, absenteeism and tardiness logs;
  • Prepare meeting minutes, OPLs, time sheets, memorandums, draft disciplinary letters, purchase requisitions and payment vouchers for the Engineering Department when required;
  • Collecting data and creating monthly metrics reports;
  • Assist with sourcing engineering/maintenance related materials, equipment and/or contractors (as required);
  • Orders and maintains office supplies;
  • Assist with planning and organizing of department employee training, team building and recognition events;
  • Assists with recording of departmental expenses to minimize departmental costs, including overtime;
  • Assists with conducting and recording findings of equipment and/or inspections;
  • Create and distribute weekly/ monthly reports on plant operation. 
  • Assists with the sourcing of critical spare parts and materials required.
  • Liaise with foreign and local suppliers of critical orders.
  • Assist in the planning of projects, and preparations of plant audits and the preparation of all team communications.
  • Maintenance of Engineering staff leave files and prepare leave reports.
  • Ensure that correct Personal Protective Equipment is worn at all time.
  • Ensure that the work area is always kept tidy.
  • Assist with, but not limited to, the preparation and updating of Daily Downtime Reports, the Engineering Weekly Roster, Engineering Weekly Plan, WOR databases, Walk around sheets and PM activities.
  • Assists with the planning of Work Order Requests and Walk around Engineering Items to ensure timely execution and close off of these items;
  • Track and prepare weekly report on Mean Times to Repair on Maintenance jobs;
  • Assist with keeping customers updated on the progress of their service request;
  • Be knowledgeable of all maintenance operations, protocols and activities.
  • Recommend new methods, processes, and improvements where required.
  • Immediately report any non-conformances relating to maintenance operations to the Engineering Manager
  • Conforms to all established departmental and company policies, procedures and objectives, GMPs, food safety and HSE site protocols;
  • Undergo any job-related training required by the company;
  • Performs other related tasks and responsibilities as required.

Knowledge, Skills & Experience:

  • Engineering Degree in Mechanical, Electrical or Chemical, BSc.
  • 2 years’ experience in a Maintenance environment (preferably with a manufacturing company)
  • Time management skills and organizational skills
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office and data entry software
