The Project Assistant is responsible for providing project administrative, cost, document and timesheet management support to the project team.

Overview / Responsibilities

Massy Wood is recruiting for a Project Assistant to support one of our projects based in Trinidad.

 

The Project Assistant is responsible for providing project administrative, cost, document and timesheet management support to the project team.

 

  • Review and ensure cost information, as well as quality and accuracy of all company invoices.
  • Assist project engineers in project costing and timesheet management.
  • Develop and Maintain a Data Base for control of department’s staff Site Passes, Inductions, Mandatory Training, etc. and issue Weekly Reports on expiry dates of same, where applicable.
  • Maintain Line Manager’s calendar and contacts in Outlook.
  • Assist with venue arrangements and preparation of presentation material.
  • Coordinate meetings by assisting in the preparation of documentation, making venue and room bookings, organizing catering etc.
  • Assist with formatting reports, presentations, letters and any other required documents.
  • Set up and maintain administration filing systems.
  • Participate in meetings and record and distribute minutes of meetings.
  • Coordinate travel arrangements and reservations.
  • Coordinate the flow of information, within department, both internally and externally.
  • Issue and distribute correspondence, presentations, CD’s, reports and any other required documents;
  • Interface with other departments as required.
  • Liaise with internal and external contacts.

Skills / Qualifications

  • Associate's Degree in Management from a recognized institution.
  • At least five (5) years’ experience in project administration.
  • Experience in the oil & gas industry would be considered an asset.
  • Strong working knowledge of Microsoft Office software including Word, Excel, PowerPoint and Outlook.
  • Awareness of the project environment.
  • Strong verbal and written communication skills.
