The Children's Authority of Trinidad and Tobago is a specialized agency with the responsibility for the care and protection of children, especially those who are at risk or have been victims of abuse or neglect.

The Children's Authority of Trinidad and Tobago is seeking to recruit for an Assistant Corporate Secretary, on contract.

The Assistant Corporate Secretary (ACS) will form part of the Corporate Secretariat Unit reporting to the Office of the Chairman of the Board of Management.  The incumbent will confidentially support the Corporate Secretary in executing task for the Board of Management.  He/She will provide a broad range of specialized support services in keeping with best practice standards.

Principal Accountabilities/ Key Functions:

  • Manage Corporate Records by creating and maintain an effective and efficient record-keeping system that is accurate, up-to-date and accessible to the relevant persons in accordance to the law and compliance requirements and the Authority’s policies and procedures.

  • Assist the Corporate Secretary in managing project deadlines and with the development of quality standards for consistent, structured and accurate reporting.
  • Minute meetings of the Board of Management and/ or Committees ensuring the preparation and distribution of relevant material is completed per the standard operating procedures,
  • Assist in the maintenance of Terms of Reference for various sub-committees of the Board of Management, ensuring annual diary and meeting timetables are up-to-date and shared within the specified periods.
  • Coordinate Board and Senior Management social/networking engagements.
  • Coordinate administrative support for the Authority’s Directors as necessary.
  • Manage Board requests and key management take-aways ensuring they are promptly addressed.
  • Assist the Corporate Secretary with the planning and execution of the Board’s annual meeting. Support the annual Board Evaluation process.
  • Assist the Corporate Secretary during periodic reviews (e.g., Internal Audit, external consultants) and support the implementation of any resulting recommendations
  • Assist the Corporate Secretary with communicating and working with the Board of Management to ensure good governance and Board effectiveness.
  • Support review and updating of governance policies and Board and committee terms of reference.
  • Assist in the planning and delivery of relevant orientation and training of members of the Board of Management, the Executive Leadership team and Senior Managers.
  • Works closely with the Corporate Secretary to prepare and collate reports under the purview of the Corporate Secretariat.
  • Under the direction of the Corporate Secretary, the ACS will be required to ensure accurate legal advice and relevant resources are provided to the Board of Management for the discharge of their fiduciary duties to stakeholders in accordance to the Law.
  • Communicates and collaborates confidentially and effectively, with internal and external stakeholders in accordance with standard operating procedures.
  • Perform any other related duties assigned by the Corporate Secretary

Minimum Qualifications:

  • A Bachelor's Degree in Law.
  • Three (3) years’ experience as a Practicing Attorney.
  • One (1) year experience as an Assistant Corporate Secretary.
