Assistant Project Manager

The Assistant Project Manager will be responsible for supporting the project management efforts for both our CRM development project and the development of an online classifieds platform. The Assistant Project Manager will work closely with the project management team, stakeholders, and cross-functional teams to ensure the successful planning, execution, monitoring, and delivery of these critical projects.

 QUALIFICATIONS & EXPERIENCE:

  •  Bachelor's degree in Business Administration, Information Technology, Project Management, or related field.
  • Proven experience of at least 5 years as an Assistant Project Manager, Project Coordinator, or in a similar role, preferably within technology-driven projects.
  • Project management qualification (PMP), Certified Associate in Project Management (CAPM), or equivalent experience as a project manager.
  • Project management skills, including project planning, risk management, time management, and coordination of project teams.
  • Experience in strategic planning, risk management, and change management within project environments.
  • Proficiency in project management software and tools (e.g., Microsoft Project, JIRA, Trello).
  • Contract negotiation experience to manage vendor relationships and project partnerships.

  •  Excellent communication skills, both written and verbal, to effectively convey project updates and requirements to stakeholders.

 RESPONSIBILITIES:

 Project Planning and Scope Management:

  • Assist in defining project scope, goals, deliverables, and timelines for the CRM development and online classifieds projects.
  • Collaborate with project managers to create detailed project plans, outlining tasks, milestones, and resource requirements.

 Stakeholder Communication:

  • Maintain regular communication with project stakeholders to provide updates on project progress, potential risks, and mitigation strategies.
  • Act as a liaison between technical teams, business units, and external partners to ensure alignment and effective collaboration.

 Task Coordination and Assignment:

  • Coordinate project tasks and assignments, ensuring that team members are aware of their responsibilities and deadlines.
  • Monitor task completion and escalate issues to the project manager when necessary.

  Project Documentation:

  • Assist in creating and maintaining project documentation, including project charters, requirements documents, meeting minutes, and progress reports.
  • Ensure documentation is organized, up-to-date, and easily accessible to all project stakeholders.

 Risk Management:

  • Identify potential risks and issues that could impact project timelines, scope, or quality.
  • Collaborate with the project manager to develop risk mitigation strategies and contingency plans.

 Quality Assurance and Testing:

  • Support the testing and quality assurance efforts of both the CRM system and online classifieds platform, ensuring that deliverables meet quality standards and user requirements.

 Project Monitoring and Reporting:

  • Monitor project progress against established milestones and timelines.
  • Assist in preparing regular status reports, highlighting key achievements, challenges, and next steps.

 Change Management:

  • Support change management efforts by assisting in the development of change plans, communication materials, and training resources.
  • Ensure that stakeholders are informed and prepared for upcoming changes.

 Cross-Functional Collaboration:

  • Collaborate closely with technical teams, developers, designers, business analysts, and other project stakeholders to ensure seamless project execution.

 Continuous Improvement:

  • Actively participate in lessons-learned sessions to identify opportunities for process improvement and project optimization.
