JOB DESCRIPTION

 

Definition

To  maintain  proper  accounts  on  behalf  of  the company  to  ensure  accurate  information  is

Consistently updated and readily available at all times and perform other day to day activities relating to the management of the accounts, revenues and expenditure of the company.  This receives supervision from the Accounts Coordinator.

 

Distinguishing Characteristics

This position is required to perform duties related to accounting activities. The incumbent will perform the full range of duties as assigned, and must have the ability to work independently, and exercise initiative, judgement and confidentiality.

 

Important and Essential duties:

  • Verification of entries into Peachtree which includes but is not limited to invoices, receipts, credit notes, purchase orders.
  • Preparation and updating of listings associated with the accounts department such as cheque, deposit, invoice listings, etc.
  • Ensuring all supporting documentation and cheque vouchers are signed off by the relevant signatories.
  • Following up with departments for required paperwork to ensure timely processing of payments to clients i.e. Box Office, Technical, etc.
  • Processing of all cheques and calculations of clients refunds, balancing of daily accounts receivables and payables, etc.
  • Entry of ACH payments to Peachtree as identified by his/her supervisor.
  • Preparation of weekly/monthly reports such as but not limited to payables, receivables.
  • Maintain the Asset Register inclusive of keeping a log of all fixed assets purchased and their location.
  • Prepare Vendors/Customers account reconciliation.
  • Assist with the preparation of Bank reconciliation of the company accounts.
  • Assist with the management of Petty Cash account.
  • Performs  other  duties  related  to  the  accounting  procedures  as  assigned  by  his/her supervisor.

 

Job Related and Essential Qualifications:

 

Knowledge of:

  • Proficient in Microsoft Office Suite and Peachtree.
  • Sound knowledge of accounts procedures, in particular those that apply to the public sector.

 

Ability to:

  • Pay attention to detail
  • Learn and understand the organization and operation of the accounts department
  • Work independently as well as in a team environment
  • Maintain high levels of confidentiality
  • Maintain accurate logs, records and basic written records of work performed
  • Understand and follow oral and written instructions
  • Ability to manipulate, analyse and interpret data.
  • Use proper English to effectively communicate to internal and external customers

  • Establish, maintain and foster positive and harmonious working relationships with other members of staff.

 

Qualifications and Experience

  • ACCA Level II / Diploma in Financial Management
  • Minimum of three years’ basic accounting experience
  • Experience in operating Peachtree software
