Assist in facilitating the timely flow of the production activities in the Workshop Department by utilizing the CDK DMS to liaise between the Service and Parts Departments.

Job Summary:

Assist in facilitating the timely flow of the production activities in the Workshop Department by utilizing the CDK DMS to liaise between the Service and Parts Departments. The candidate must continuously provide support to Service Manager on the linked activities with the purpose of producing the finished service for customers within or outside the business. Generally, the processes involve combinations of people, techniques, and improvements in a defined series of steps or actions.

 

 

Job Descriptions:

  • Perform his/her duties in a manner that all times promotes a Great Customer experience and sets a good example for all employees, customers and suppliers of Ansa Motors.
  • Continuously monitor daily Work-in-Progress (WIP) – i.e., relating to the completeness of vehicles while in the Workshop via CDK.
  • Continuously monitor Technicians to ensure productivity, efficiency and proficiency is achieved.
  • Continuously monitor Technicians to ensure that they are compliant with ERO.
  • Ensure that vehicles are categorize in their correct status i.e. (Vehicle disable, Ready-to-post, Working, pre-assigned)
  • Continuously monitor and update WIP via the SDL screen every 5 days, ensuring that comments with dates are added and correct flag colours is attached.
  • Coordinate the timely ordering of parts as requested by the Workshop.
  • Ensure SORs which have been written are ordered by the Parts Department.
  • Continuously monitor the fast-lane screen SOR orders.
  • Ensure that SOR parts are to be fitted with-in (3) days upon receiving from the parts department on vehicles that is on the compound.
  • Facilitate the coordination and communication where necessary between the Workshop and the Service and Parts Teams.
  • Provide updates to the Service Team on vehicle work completion times twice daily.
  • Monitor the warranty parts return process and ensure that all warranty parts are tagged and stored/removed from the Workshop within 1-week of the part fitted to the vehicle.
  • Supervise and coordinate the activities of the fleet Team member daily to ensure that the Company standards are met or exceeded.
  • Coordinate service schedules with Service Advisers and Appointment Team for private fleet vehicles and ensure that the service and repair work as assigned under fleet is scheduled with appropriate time allowance to ensure a smooth workflow.
  • Work with Service Advisors to ensure that communication to the fleet clients is provided with status updates at 10.00 am and 2.00 pm.
  • Maintain tracking of license/road tax renewals and carryout renewals with-in 1 week of renewal date, critical to keep current.
  • Work with the Service Manager to investigate, respond and resolve (Fleet) client queries in the best interest of all parties within 8 hours of receipt compliant.
  • Ensure that all established safety, security and housekeeping procedures, practices and regulations are continuously and consistently adhered to at all times; inclusive of assisting to ensuring that all Workshop personnel wear the correct safety equipment at all times.
  • To maintain a clean, tidy, safe, and presentable working environment, ensuring that housekeeping is maintained, and security procedures enforced to maintain a safe and attractive work environment for customers and staff.
  • To assist when called upon on any other duties that may not be listed on the above, either temporarily or permanent.

Education and Experience Requirements:

  • Grade A Technician with a degree or certificate from university, college, or technical institution.
  • Five years mechanical experience and two years workshop supervisory experience.
  • Proficiency in MS Word and Advanced Excel is essential.
  • Be a great problem solver with the ability to go above and beyond at every opportunity.
  • Must possess good communication skills with the ability to work as a key contributor to a team.
  • Strong interpersonal and communication skills.
  • Ability to work without supervision and meet deadlines.
  • Ability to organize, instruct and supervise the activities of workers.
