We are looking for an experienced Administrative Assistant to join our team.

Purchasing Unit

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be professional, polite, and attentive while also being accurate, comfortable with computers, and general office tasks, and excel at both verbal and written communication. Most importantly, candidates should have a genuine desire to meet the needs of others.

Administrative Assistant Job Responsibilities:

  • Provides administrative support to ensure efficient operation of the office
  • Carries out administrative duties such as maintaining files and records
  • Completes operational requirements by liaising with clients, suppliers, and other staff members
  • Source & purchase local stationery daily while comparing and ensuring prices are suitable
  • Prepare and send purchase orders to suppliers
  • Update system prices on a daily basis in CRM
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports the team by performing tasks related to organization and strong communication
  • Provides information by answering questions and requests
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies
  • Contributes to team effort by accomplishing related results as needed

Administrative Assistant Skills and Qualifications:

In addition to relevant experience and secretarial/administrative knowledge, candidates will need to show evidence of the following:

  • Exceptional written and oral communications skills
  • Excellent word processing and I.T. skills, including knowledge of a range of software packages
  • Ability to work under pressure
  • Good organizational and team management skills
  • Excellent interpersonal skills
  • Ability to work on your own initiative
  • Honesty and reliability
  • Attention to detail
  • Flexibility and adaptability to juggle a range of different tasks

Education and Experience Requirements

  • Associates Degree or equivalent education required
  • 5 CXC passes inclusive of math and English
  • 2 years of administrative assistant experience
  • Knowledge of appropriate software including Microsoft Word, Excel, Outlook, Microsoft PowerPoint and Adobe Acrobat
