Collective Solution is seeking a Procurement & Purchasing Officer to join our dynamic Finance Team located in Sandy Bay, Hanover.

The Procurement & Purchasing Officer responsibilities include evaluating vendors, negotiating contracts, and preparing reports (e.g., on orders and costs.) For this role, the incumbent should have good knowledge of market research, along with solid analytical skills to ensure the identification and selection of the most profitable officers.

Duties and Responsibilities

  • Research potential vendors
  • Compare and evaluate offers from suppliers.
  • Developing procurement strategies that are inventive and cost-effective.
  • Sourcing and engaging reliable suppliers and vendors.
  • Negotiating with suppliers and vendors to secure advantageous terms.
  • Reviewing existing contracts with suppliers and vendors to ensure on-going feasibility.
  • Track orders and ensure timely delivery.
  • Review quality of purchased products.
  • Enter order details (e.g., vendors, quantities, prices) into internal databases.
  • Maintain updated records of purchased products, delivery information and invoices.
  • Building and maintaining long-term relationships with vendors and suppliers.
  • Approving purchase orders and organizing and confirming delivery of goods and services.
  • Performing risk assessments on potential contracts and agreements.
  • Controlling the procurement budget and promoting a culture of long-term saving on procurement costs.
  • Overseeing and managing the IT systems that track shipments, inventory, and the supply of goods.
  • Prepare reports on purchases, including cost analyses.
  • Monitor stock levels and place orders as needed.
  • Coordinate with facilities & maintenance staff to ensure proper storage.
  • Attend trade shows and exhibitions to stay up to date with industry trends.

Required Qualifications and Skills

  • Bachelor's degree in supply chain management, logistics, or business administration.
  • Proven experience managing supply chain operations.
  • Proven work experience as a Purchasing Officer or similar role.
  • Experience using supply chain management software and tools, including Oracle, SAP Ariba, and/or envision.
  • Hands-on experience with purchasing software (e.g., Procurify or SpendMap)
  • In-depth knowledge of preparing and reviewing contracts, invoicing, and negotiation terms.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Management and leadership skills.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Highly organized and detail oriented.
  • Excellent analytical and problem-solving skills.
  • Ability to work under pressure handling multiple tasks to ensure timely completion of all activities.
  • Obtain and effectively use information, identify, and seek information needed from a variety of sources and skillfully extract and report the information for business benefit.
  • Ability to present findings effectively to management.
  • Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors)
  • Understanding of supply chain procedures
  • Solid analytical skills, with the ability to create financial reports and conduct cost analyses.
  • Negotiation skills
  • Ability to logically examine and interpret information from various sources to develop a course of action.
  • Positive attitude towards changes in work assignments & working hours.
  • Strong proficiency in Microsoft Excel and Word, written and oral communication skills.
