To contribute positively to the success of the Legal Services Department by providing administrative support and implementing administrative and business systems to support the development of the organization.

Duties & Responsibilities: The incumbent will be required to:

 Prepare various legal and corporate documents inclusive of agreements, leases, conveyances, transfers, etc. for review and finalization by Legal Officers

  1. Prepare routine correspondence
  2. Manage departmental records and maintain its databases.
  3. Co-ordinate the contract and lease preparation and execution processes
  4. Assist in collating documents for filing at High Court and Land Registry
  5. Deal with routine queries on matters from clients and clients’ Attorneys
  6. Carry out administrative and clerical tasks that are required for the operation of the department
  7. Maintain proper record keeping both manual and electronic filing
  8. Comply fully with the Company’s policies and procedures, safety policies and procedures, Core Values, and Charter of Business Ethics
  9. Perform any other duties as required by the job function

 

Minimum Requirements:

  1. Bachelor of Science degree in Management or related discipline
  2. Five (5) years’ work experience in administration in a general practice law firm with primary focus on corporate, commercial, and conveyancing
  3. Paralegal certification would be considered an asset

Or any other equivalent combination of qualification and experience.

 

Knowledge, Skills and Abilities

  1. Basic knowledge of business and conveyancing law and process will be an asset
  2. Excellent written, verbal communication and presentation skills
  3. Skill in the use of computers and software applications such as Microsoft Office Suite.
  4. Strong interpersonal skills.
  5. Excellent organisational and database management skills
  6. Ability to prioritize and execute tasks in a high-pressure and constantly changing environment.
  7. Work cooperatively with people at all levels with respect and able to respond appropriately in a variety of complex situation
  8. Ability to assist lawyers with a high degree of professionalism
  9. Keen understanding and uncompromising observance of confidentiality
  10. Ability to work independently with demonstrated initiative
