INVENTORY AND PROCUREMENT SPECIALIST
JOB DESCRIPTION:
The Inventory and Procurement Specialist will be responsible for Provo Water Compnay’s inventory and all the procurement and shipping and receiving tasks related to the latter. The IPS is primarily responsible for keeping PWC’s inventory up to date and making sure that the correct hardware is available for all ongoing and upcoming projects. The IPS will also be responsible for making sure all tools and materials including vehicles are in good function according to PWC’s Health and Safety as well as Environmental Standards. All tasks and resources that fall under the primary responsibility of the IPS are also under the Water Operation Director’s remit.
REQUIREMENTS AND QUALIFICATIONS:
- Professional qualifications and trade certifications are preferred.
- Minimum of 5 years’ experience in the inventory and procurement sector. Experience in the water utilities sector is favorable.
- Ability to work with computerized inventory systems.
- Knowledge of inventory control best practices.
- Excellent organizational skills and strong attention to details required.
- Ability to adapt to changing priorities and deadlines.
- Have good communication skills and be able to work independently and as part of a team.
- Ability to lift heavy items.
- Must be able to work outside for prolonged periods of time.
MAJOR RESPONSIBILITIES:
- Management control and supervision of PWC’s inventory and vehicle fleet.
- Compile information, such as installation rates and progress, materials inventories, materials used, and project inventory information, so that status reports can be completed as requested by the Director.
- Confer with Department Managers to assess progress and discuss needed changes.
- Confer with Managers, and suppliers to coordinate shipping activities with ongoing projects, and to resolve problems or eliminate delays.
- Management of all the procurement, shipping and receiving from all the departments of PWC.
- Prepare proposals, request quotes and negotiate purchase terms and conditions with suppliers.
- Receive, inspect, and unload incoming shipments, verify quantities and check for damaged or defective items.
- Maintain accurate inventory records in the Elements Software.
- Document Inventory stock levels, discrepancies, and adjustments and take actions to find solutions to ensure that PWC’s inventory is always up to date.
- Perform regular monthly inventory counts and participate in physical inventory audits to ensure inventory accuracy.
- Supervise and ensure that all tools, vehicles and material that need maintenance are maintained according to product safety and functioning standards.
- Assist in maintaining a clean and organized warehouse, including sweeping, arranging shelves, and disposing of packaging materials.
- Collaborate with team members to ensure timely project fulfillment and efficient warehouse operations.
- Follow safety guidelines and practices to prevent accidents, including wearing appropriate personal protective equipment (PPE).
- Ensures health and safety is a priority and embedded in all company works.
- Ensures PWC environmental policy is a priority and embedded in all company works.
- Perform any other tasks and duties as assigned by the Water Operations Director or upper Management.
DEPARTMENT ELEMENTS XS SUPER USER
- Receives higher level training provided by software vendor.
- Trains and provides ongoing support to team in the optimal use of the (Elements XS) Inventory Management System.
- Evaluate system and processes and recommend improvements for optimal Inventory Management performance.
- Review orders and tasks for compliance with agreed procedures for Project Inventory Management.
- Participate in “Departmental Reviews” regarding inventory in Elements.
EXPERIENCE
- Not less than five years in the water/wastewater industry with at least three years in a supervisory role. Experience in a similar industry is also acceptable.
- Understanding of the installation and maintenance of pipelines and pipeline infrastructure.
- Understanding the functioning of a high turnover inventory and the complications related to procurement in Turks and Caicos Islands.
- Good working knowledge of safety and environmental procedures.
ABILITIES AND SKILLS
- Proficient in the use of computers and software especially Microsoft Windows based applications.
- Familiarity of standards employed by the water industry and the ability to apply industrial trends to local operations, performance measurements.
- Good knowledge of plumbing standards, fittings, and their effective use.
- Good verbal and written communication ability is required.
- Good troubleshooting skills are necessary for this position.
- An inquisitive mind and willing to learn new things.
- Ability to work as a team and deal with multi-disciplinary personnel.
- Requires the ability to make recommendations on the cost and effectiveness of projects; interpret an extensive variety of technical instructions in mathematical or diagram form.
- Licensed driver with clean record.
WORKING CONDITIONS
The job requires both desk-based work in an office environment and outside work in the natural environment for extended hours.
OFFICE-BASED WORK
Requires extensive sitting time performing computer-based work or attending meetings in an air-conditioned office wearing appropriate office attire.
FIELD-BASED WORK
Requires extended standing time exposed to the elements. The nature of the work exposes the employee to direct sunlight, hot, dusty, windy, and muddy conditions. The employee must wear the appropriate personal protective equipment provided by the employer when in the field.
