The inventory officer is responsible for the receipt, issuance and arrangement of items in the maintenance stores.

INVENTORY OFFICER

The inventory officer is responsible for the receipt, issuance and arrangement of items in the maintenance stores.

PRINCIPAL ACCOUNTABILITES/MAJOR TASKS:

  • Perform the receiving and issuing of parts, including stock and non-stock units, to and from the maintenance stores. This includes the receipt of ultra-low sulphur fuel.
  • Maintain complete stores issue requisition records for all items issued from stores.
  • Enter good receipt, issues, transfers and other adjustments in the inventory system and add bin locations in the system for items located in the maintenance stores.
  • Arrange parts in stores for proper storage, presentation and easy retrieval. This includes guiding stores assistants to sort parts properly and perform cleaning in the maintenance stores.
  • Perform partial stocktaking of high value items to assure inventory accuracy and reconciliation for variances.
  • Perform fuel reconciliation of all fuel chits processed by the fuel pump area.
  • Participate in periodic official stocktaking exercises with members of the accounting department.
  • Obtain quotations for spare parts and other materials from suppliers.
  • Prepare purchase order requisitions and cheque requisitions for parts, material and service from suppliers.
  • Monitor items ordered through purchase order by following up with suppliers and tracking customs clearance of the items.
  • Review fortnightly and monthly payroll for the maintenance department.

 

MINIMUM REQUIREMENTS:

  •  First Degree in Business Administration, Management Science, Operations Management,  Engineering or equivalent
  • Minimum one (1) year experience with inventory control in an industrial or commercial setting.

 

SPECIALIZED KNOWLEDGE & SKILLS

 

  • Working knowledge of Inventory Control and general Accounting, especially reconciliation principles
  • Industrial parts
  • General purchasing principles
  • Intermediate Computer skills (Microsoft Word and Excel)
  • Good communication both verbally and in writing
  • Good analytical skills
  • Good decision making skills
