This position is responsible for providing administrative support in respect of contract management, records management, identification management and separation processes for all Security Officers.

What You'll Be Doing
  • Add new security officer’s information to Smart Task System, compile contract and send banking information to payroll and ID request to the ID Department within 1-2 days of onboarding.
  • Check for completeness and accuracy of all mandatory documents on file for new security officers.
  • Follow up within one (1) week of hire to ensure that IDs were received and disseminated.
  • Pull period of engagement data from Smart Task to compile monthly report.
  • Coordinate and submit ID request to GM Telecoms via email upon contract signing
  • Maintain Records Management for assigned security officers
  • Send to Operations Management the end of engagement information for security officers two (2) months in advance.
  • Maintain physical and electronic records (Smart Task) for GML and MML security officers
  • Identify and facilitate the resolution of security officers’ issues and complaints on a daily basis.
  • Make security officers inactive in Smart Task system, and any other relevant systems after final payment is made by payroll.
  • Send notification of security officer inactive status to HRSS Admin Manager/Regional/General/Operations Manager, Payroll and Roster Room after final payment is made.
  • Prepare and submit monthly report to Senior HR Team Lead by the 3rd working day of each month.
  • Perform other related tasks within the scope of the function.

A Little Bit About You

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc)
  • Knowledge of office management system and procedures, Knowledge of operating standard office equipment
  • Good research skills and attention to detail
  • Excellent problem-solving skills, written and verbal communication skills, Strong organizational skills with ability to multi-task

Minimum Qualifications

  • Bachelor’s Degree in HR, Business Administration; or equivalent combination of experience and education
  • Training in Human Resource Management or related disciplines
  • At least 1-year experience in General Administration
