The Human Resources Admin Assistant provides courteous and efficient service and support to all ATL Group team members in the area of HR. Handle queries both in person and on-line in an accurate, professional and timely manner.

HR Administrative Assistant 

Provide support in all areas of HR, with focus on Administration, HRIS, ACM time clock, Leave Management and Employee Benefits.   Familiarity with HR processes and workflow related to talent acquisition, employee development and records management.

Key Responsibilities:

  • In conjunction with RHRO ensure HRIS Database is current to include all employee personal details and ensure that the database accurately reflects current and past employee data.  Details to include, personal details, leave entitlements and utilization, promotions, salary,etc.
  • Compile HR Data and provide metrics from HRIS to support Management information as necessary, e.g. Leave reports for audit and any other analysis as requested.
  • Generate, update and maintain accuracy of employee records on shared drive with pertinent information related to the employee.
  • Generate employee numbers for new employees.
  • Submit accurate weekly manning report to the EHI GM.
  • Support of the Disciplinary process via notetaking and preparation of minutes within five (5) working days’ subject to the scheduled hearing dates.
  • Assist with educating employees on Company and HR policies, procedures and practices.
  • Support the recruiting processes with resumes, coordinating, scheduling and attending interviews, ensure completion of SRI and other reference checks once candidate identified.
  • Ensure medicals are completed for all new employees within two (2) weeks of joining.
  • Facilitate preparation of medical letters for on-the-job incidents and ensure Incident forms are completed and submitted to the GHRM within 24 hours with the requisite supporting documents to include pictures, statements, sick leave certificates, etc.
  • In conjunction with the Group HRM, Develop assessments for recruitment of potential and existing employees (for promotion).
  • Recognize and suggest short- and long-term Programmes for milestones, e.g. Birthdays, anniversaries, special events, completion of training etc.
  • Prepare offer letters, job letters, contracts, extensions, etc.
  • In conjunction with HR Group Office, spearhead procurement process for uniforms for all staff in keeping with guidelines from the GRHM in stipulated time frames.
  • Ensure all new After Sales team members are provided with safety shoes.
  • Assist with new employee onboarding and orientation, enrollment in benefit plans and ACM time clock.
  • Assist with preparation and updating of Job Descriptions/specifications as required.
  • Send emails to ALL staff as necessary in keeping with updates from the HR Department.
  • Sound working knowledge of the Labour Laws, principles and practices.
  • Implement/manage surveys for HR as requested.
  • Assess welfare needs of the team and recommend strategies to the RHRO/GHRM.
  • Assist with functionality of office equipment/items and requisition new supplies as needed.
  • Assist with distribution of stationary and supplies as needed.
  • Support Ad-hoc HR projects and staff engagement Programmes.
  • Any other duties in keeping with scope and competence.

Qualifications and Experience Required:

  • Bachelors’ degree in HRM/Business Administration.
  • Minimum 2 years’ experience is similar field.
  • Excellent organizational and administrative skills with the ability to prioritize and juggle a busy workload.
  • Sound working knowledge of the Labour Laws, principles and practices.
  • Proactive and ability to work on own initiative with excellent attention to detail.
  • Proficiency with MS Office suite, strong computer skills.
  • Capacity to apply discretion, professionalism and maintain high level of confidentiality when handling sensitive information and dealing with team member.
  • Ability to develop and manage interpersonal relationships at all levels of the company.
  • Excellent communication skills, both written and verbal.
  • Strong analytical, problem solving and time management skills.
