The Groups Coordinator is responsible for assisting with the coordination of all aspects of the Meetings, Incentives, Conferences, and Exhibition (MICE) business, in addition to other groups- such as, but not limited to – social, weddings, leisure groups for Island Routes Caribbean Adventures.

Groups Coordinator 

He/She will assist in the achievement of revenue targets, while promoting and selling Island Routes products and services. To provide excellent service and care to all customers, both existing and new.

 Core Responsibilities:

  • To assist with the coordination, planning and participation in local and offsite events, tradeshows and industry related meetings as appropriate to the assigned markets/territories.
  • Be knowledgeable about the tours and services offered by Island Routes & our Certified Partners.
  • To develop & continually enhance relationships & rapport with key accounts.
  • To ensure the effective and timely processing of RFPs to potential clients, to include CRM platforms.
  • To follow through and ensure the effective delivery/execution of group programs.
  • Effectively support the sales team with all inquiries and leads.
  • Participate in departmental meetings, relevant operational meetings and pre-cons.
  • To coordinate Site Inspections as required.
  • To effectively communicate & coordinate with all stakeholders (Hotels, and Certified Tour Partners & Attractions) to ensure successful completion of guests experience.
  • To assist with ensuring appropriate follow up & coordination takes place between client and Island Routes.
  • To assist with all procedures regarding vendors arrangements from inception to conclusion.
  • Update Group data base as required.
  • Update the Resmark System and all appropriate operating platforms with group bookings as required. While reconfirming bookings with clients, team members and vendors.
  • Assist with draft contractual agreements as required; by client, to include weblinks, any booking procedure requirement while working in tandem with the Groups Director, Supervisor, the Groups Administrator and other team members.
  • Complete all reports and regular request reports – inclusive of accounting reports, as required.
  • Any other duties as assigned.

Qualification and Experience Required:

  • A minimum of a Associate Degree in Business or related discipline.
  • A minimum of  3 years’ experience/knowledge in the related field.
  • Should have advance proficiency in Microsoft Word, Outlook, PowerPoint and Excel.

  • Ability for effective planning of events & activities and to deliver on logistics requirements.
  • Initiative, judgment and tact to interact with senior management and important business stakeholders, i.e. Suppliers, Meet planners.

  • Ability to interact successfully with clients, guests and staff.
  • Ability to work in a multi-cultural environment and therefore promote harmonious relationships (inter & intra departmentally).
  • Must be professional, positive, open-minded and energetic.
  • Must be creative, self-motivated and confident.
  • Must be able to work flexible hours.
  • Have excellent time management skills.
  • Good analytical and presentation skills.
  • Must be confidential.
