Shepherd's Inn Tobago, a 31 room boutique hotel located in western Tobago is seeking individuals to fill the role of Front Office Agent to promote a hospitable and professional image to the guests and give full cooperation to any customer requiring assistance, with a prompt, caring and helpful attitude.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned

  •  Ensure an efficient reception experience for Guests during check in and check out, clearly and accurately register all guests arriving into the hotel as per the standards and procedures.
  • Promptly administer all routes of reservations (emails, phone calls and walk in patrons) to ensure room and restaurant bookings are recorded accurately and up to date.
  • Respond to reservation requests received via email, phone and walk in enquiries promptly and accurately in a courteous and warm manner.
  • Ensure that both the General Manager and department heads (where necessary) are kept fully aware of any relevant feedback from guests or other departments.
  • Demonstrate and provide a high level of customer service at all times to in-house and walk – in guests.
  • Demonstrate knowledge of hotel room types, features, rates, packages, promotions, events etc and other general product knowledge necessary to perform daily duties. 
  • Maintain guest’s folios throughout their stay ensuring that all information is accurate and up to date.
  • Accept payments and issue receipts to Guests and patrons.
  • Receive goods from third party suppliers and direct items and billing documents to relevant department.
  • Undertake general office duties to ensure smooth running of the reception area and all departments.
  • Clearly and promptly communicate observations and feedback that point to opportunities for improvement throughout the operation of the hotel and restaurant.
  • Direct all guest complaints to General Manager (where required).  Attend to complaints and requests courteously and efficiently and report same to General Manager promptly.
  • Give full cooperation to any colleague requiring assistance in a prompt caring and helpful manner and to be flexible in assisting around the hotel in response to business and guest needs.

 

EDUCATION and/or EXPERIENCE:

  • Five (5) CXC O’levels or equivalent inclusive of Mathematics and English
  • A minimum of three years related experience and/or training.
